Position Overview

The Administrative Assistant / Payroll Clerk provides essential clerical, payroll data entry, and operational support to ensure smooth and efficient daily office functions. In addition to handling core administrative tasks—such as preparing job quotes, assisting with project setup, and supporting HR—you will manage accounts payable and payroll data entry.


Key Responsibilities


Financial & Payroll Support

  • Payroll Entry: Execute accurate, timely data entry for employee payroll (focused on data entry accuracy).
  • Accounts Payable: Process, verify, and reconcile invoices and accounts payable records.
  • Bookkeeping: Assist with basic bookkeeping, expense tracking, and data entry utilizing accounting software.


Project & Operational Support

  • Project Setup & Estimates: Prepare, edit, and format professional job quotes and assist with initial project setups.
  • Documentation: Maintain organized, secure physical and digital filing systems for project paperwork and corporate records.
  • Office Operations: Monitor and order office supplies, maintain office equipment, and ensure a highly organized office environment.

Communication & HR Administration

  • Office Presence: Greet and assist visitors, answer incoming calls, and manage general email and mail correspondence.
  • HR Support: Assist with onboarding paperwork, employee recordkeeping, and confidential personnel file maintenance.


Preferred Skills and Qualifications

  • Experience: Minimum of 2 years of experience as an administrative assistant, ideally within the construction or contracting industry, with practical exposure to basic accounting principles.
  • Software Proficiency: Strong working knowledge of Microsoft Office (Word, Excel, Outlook). Experience with Sage 100 or similar construction accounting/database software is welcomed.
  • Core Skills: Strong basic math skills and an uncompromising attention to detail.
  • Communication: Excellent written and verbal communication skills with a professional, helpful demeanor.
  • Time Management: Proven ability to prioritize tasks, meet tight deadlines, and pivot when project needs change.
