Job description

Job Title: Master Scheduler
Position Summary
Capitol Imaging Services, a rapidly growing imaging company, has an immediate opening for a full-time Master Scheduler. This person will be responsible for optimizing appointment availability and maximizing patient access across 18 imaging facilities in the Houston area. This role plays a critical part in ensuring efficient utilization of imaging equipment, improving patient throughput, and supporting revenue growth by proactively identifying and filling open appointment slots.
Key Responsibilities
  • Monitor and manage daily, weekly, and long-term imaging schedules across all facilities
  • Proactively identify open appointment slots and implement strategies to fill gaps
  • Coordinate with front desk teams, call centers to optimize scheduling workflows
  • Analyze scheduling patterns, cancellations, and no-shows to improve utilization rates
  • Prioritize urgent and high-value imaging studies while maintaining balanced schedules
  • Communicate availability to referral sources and internal teams to increase bookings
  • Maintain accuracy of scheduling systems and ensure data integrity
  • Assist in developing and implementing scheduling protocols and best practices
  • Track key performance metrics such as fill rate, turnaround time, and capacity utilization
  • Support special projects, including new site openings or service line expansions

Qualifications
  • High school diploma required; Associate's or Bachelor's degree preferred
  • 4+ years of scheduling experience, preferably in healthcare or imaging services
  • Bilingual proficiency (English/Spanish) preferred
  • Strong understanding of medical imaging modalities (MRI, CT, X-ray, Ultrasound) preferred
  • Experience with scheduling or EMR systems (e.g., ABBADOX/PACS)
  • Excellent organizational and multitasking skills
