Patient Services Representative II/Rehabilitation Technician

A Brief Overview
The Patient Services Representative II/Rehabilitation Technician is generally the first point of contact for the patient. This position will report to the Clinical Coordinator and Department Director and will be responsible for performing accurate and timely patient pre-registrations and scheduling functions for all locations of outpatient rehabilitation services as well as teaming with additional individuals in outpatient rehabilitation to ensure patient charts are prepared, thorough, with quality customer service, and a positive patient experience. In addition, the PSRII/Rehab Tech will perform administrative duties as it relates to the clinical needs of patient care and the clinical staff. The PSRII/Rehab Tech is responsible for pre-registering patients, managing referrals, scheduling appointments, and completing paperwork related to medical record requests, and scanning into the appropriate systems. Meet with patient or contact patient to confirm appointments and assist with paperwork as needed. Coordinate/communicate with clinical staff to inform the provider of any authorization, limits, or infection control issues as appropriate. Provides support in patient care and in carrying out therapeutic activities as directed by the therapist in a team environment consistent with professional practices and ethical standards. Provides cleaning and preparation of treatment areas and equipment as established by the department. Will have home facility assignment but remains ready to float emergency situations to other TH locations. The employee will complete other duties as assigned.
What you will do
  • Register patients in applicable areas
  • Run Patient Payment Estimation software to provide to applicable patients
  • Obtain and enter appropriate initial authorization information into the EIPC system
  • Schedule patients in OP Rehabilitation at the appropriate location. Communicate with team members including physicians, therapists, medical receptionists, PSAs, or the referral coordinator to ensure accurate scheduling and patient registration
  • Utilize education and expertise and knowledge of clinical aspects of the scheduling area to troubleshoot scheduling problems
  • Facilitate patient referrals with other OP Rehabilitation offices - Perform referral workflows and communications to other OP Rehabilitation offices
  • Ensure inactive charts/patient accounts are closed - Maintain discharges and close the account out of both electronic systems as well as chart review for all necessary documents and scanning.
  • Complete Pre-visit Chart Preparation - Perform medical record review within EMR to facilitate provider and clinical staff efficiency during patient visit. Compile all required forms and documents prior to the patient's evaluation for completion at registration.
  • Customer Service - greeting patients as they enter the clinic, answering incoming phone calls, excellent telephone etiquette, scheduling patients as necessary, assist in the patient registration process, communication of benefit information, scanning patient documentation, maintaining the OP Rehab schedule, and running reports indicated by management.
  • Rehab Tech - Assisting therapy staff with patient care and therapeutic activities under the direction of the clinical staff to include cleaning, preparation of treatment areas and equipment, assistance with obtaining and maintaining equipment

Education Qualifications
  • High School Diploma Required
  • High School Diploma with College or specialized training Preferred

Experience Qualifications
  • Previous experience in a healthcare setting, minimum of 3 years Required
  • Previous experience with Insurance Payer regulations Preferred
  • Medical terminology knowledge Preferred
  • Prior experience with interpreting and following detailed policies and workflows Required
  • Prior experience with electronic medical records in a healthcare environment Preferred
  • Prior experience obtaining authorizations and scheduling appointments Preferred
  • Prior experience with EPIC and Microsoft Office Preferred
