About the Role:

The Scheduling Coordinator plays a critical role in ensuring the efficient and effective management of provider schedules within Fox Valley Pulmonary Medicine (FVPM). This position is responsible for coordinating patient appointments by scheduling the outside referrals to FVPM. Ultimately, the Scheduling Coordinator contributes to the smooth functioning of FVPM by maintaining accurate schedules that align with both patient needs and organizational priorities.

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Proven experience in scheduling or administrative coordination, preferably within a healthcare or social assistance environment.
  • Proficiency with scheduling software and electronic health record (EHR) systems.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent communication skills, both verbal and written, to interact professionally with diverse stakeholders.

Preferred Qualifications:

  • Experience working with healthcare insurance verification and patient registration processes.
  • Familiarity with HIPAA regulations and patient confidentiality standards.
  • Certification in medical office administration or related fields.
  • Demonstrated ability to work in fast-paced environments and adapt to changing priorities.
  • Bilingual abilities to support diverse patient populations.

Responsibilities:

  • Call referrals from work queue to schedule and educate patients about appointment

    Monitor all schedules at all offices to ensure proper balance and fullness is maintained

  • Continuously monitor schedules throughout the day for no shows, cancellations and problems
     Promptly document all communication with patients.

  • Execute all reschedules for provider time off

  • Back up coverage for Medical Receptionist 

  • Communication with physician’s offices, patients, etc. is complete, accurate, efficient, timely and respectful

  • Maintains proficiency in computer skills

  • Other duties as assigned
