Job description

We are seeking a professional and bilingual Receptionist to serve as the first point of contact for customers, vendors, drivers, and visitors. This position supports front office operations, mail distribution, document control, and provides assistance to the Accounting department with Accounts Receivable and Accounts Payable tasks.

This role is ideal for someone who is organized, personable, detail-oriented, and comfortable working in a manufacturing environment.

Essential Duties & Responsibilities

  • Greet customers, vendors, drivers, and visitors in a professional manner
  • Answer and direct incoming phone calls
  • Manage general office email inquiries
  • Maintain a clean and organized reception and conference area
  • Coordinate visitor sign-in procedures
  • Receive, sort, and distribute incoming mail and packages
  • Prepare outgoing mail and courier shipments
  • Maintain mail logs and documentation when required
  • Monitor office supplies and assist with ordering
  • Scan, file, and maintain physical and electronic records
  • Organize vendor and customer documentation
  • Assist with document preparation and data entry
  • Maintain confidentiality of employee and financial records
  • Assist with preparing and distributing customer invoices
  • Support follow-up on past-due accounts and maintain updated customer files
  • Match invoices to purchase orders and receiving documentation
  • Prepare supporting documentation for check runs
  • Maintain organized and up-to-date customer and vendor files
  • Perform other related administrative duties as assigned.
