Job Description Summary
Avante Health Solutions is seeking a full-time Parts Sales Coordinator to support our Diagnostic Imaging Parts Sales team. This role serves as a key point of contact for customers, suppliers, internal sales representatives, and operations to ensure timely quotations, order processing, inventory coordination, and exceptional customer service.
The Parts Sales Coordinator is responsible for proactive account outreach, managing customer relationships and inquiries, preparing quotes, processing sales orders, coordinating with purchasing and warehouse teams, tracking shipments, and maintaining accurate customer and inventory records. This position plays an integral role in helping customers quickly source high-quality replacement parts for diagnostic imaging equipment.

Essential Job Functions & Key Responsibilities
  • Respond to customer inquiries regarding diagnostic imaging replacement parts.
  • Prepare and deliver customer quotations accurately and promptly, while maintaining market pricing knowledge
  • Process customer purchase orders and sales orders within company systems.
  • Proactively call on current and new customers to grow new business/request volume.
  • Coordinate with Purchasing and Vendor Management to source parts and obtain pricing and availability ensuring accurate market pricing is updated in our system.
  • Monitor inventory levels and communicate stock availability to customers and sales representatives.
  • Track customer orders from quote through shipment and delivery.
  • Coordinate expedited orders to meet critical customer needs.
  • Maintain accurate customer, vendor, and pricing records
  • Work closely with Parts Sales Account Managers to support sales opportunities and customer accounts.
  • Communicate order status, shipping updates, and backorder information to customers.
  • Resolve order discrepancies and coordinate returns, exchanges, and warranty claims.
  • Assist in identifying alternative parts, cross-references, and sourcing opportunities.
  • Support inventory initiatives including surplus purchases, vendor buyouts, and product availability.
  • Generate reports on quotes, orders, sales activity, and customer follow-up.
  • Build and maintain strong relationships with customers, vendors, and internal teams.
  • Identify opportunities to improve processes, customer response times, and operational efficiency.
  • Assist with special projects and additional responsibilities as assigned.
  • Works professionally and efficiently with all levels within the organization
  • Adheres to all company employment policies and safe practices
  • Performs other duties as assigned

Experience/Training/Education
  • High school diploma or General Education Degree (GED) required; associate or bachelor's degree preferred.
  • Minimum of two years of customer service, inside sales, order management, purchasing, or parts sales experience required.
  • Strong organizational and multitasking skills required.
  • Excellent written and verbal communication skills required.
  • Customer-focused with strong problem-solving abilities required.
  • High attention to detail and accuracy required.
  • Experience with Microsoft Office (Excel, Outlook, Word) required.
  • Ability to quickly learn ERP, CRM, and inventory management systems required.
  • Experience in medical imaging, biomedical equipment, healthcare technology, industrial equipment, or technical parts sales preferred.
  • Experience working with inventory management or ERP systems preferred.
  • Knowledge of diagnostic imaging equipment or replacement parts preferred.

Technical: Requires working knowledge of ultrasound equipment and associated parts/components sufficient to accurately identify, cross-reference, and source parts for customer and service needs. Ability to interpret parts diagrams, exploded views, and technical documentation to correlate part numbers to system function. Effective use of Enterprise systems, email, search engines, and the Internet; ability to effectively use Microsoft Products: Outlook, Word, Excel, Teams; ability to use and understand Enterprise Resource Planning (ERP) software for order entry, quoting, and inventory management, and to learn additional software as needed to improve productivity.
Communication: Ability to read and interpret documents such as parts catalogs, price lists, purchase orders, and procedure manuals. Ability to write clear and accurate documentation, including order confirmations, quotes, and shipping records. Capacity to read through policies, reporting, and compliance requirements. Ability to communicate effectively with customers, sales representatives, service technicians, and supervisors regarding parts availability, backorders, pricing discrepancies, or process questions.
Math & Reasoning: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret technical instructions in diagram or schematic form to confirm correct part selection. Ability to calculate pricing, quantities, discounts, and shipping costs accurately. Ability to manage multiple orders and customer requests simultaneously and willingness to adapt to change and take initiative.
Physical and Environmental Elements
Physical Demands: Ability to sit for extended periods while performing computer-based order entry and phone/customer support work. Frequent use of hands for typing, data entry, and handling paperwork or small parts. Ability to see clearly at normal reading and screen distance to review orders, part numbers, and documentation (corrected vision acceptable). Occasional reaching, bending, or walking within an office or warehouse setting to locate or verify parts. Ability to lift, carry, or otherwise move up to 25 lbs. Ability to talk or hear continuously, including extended phone-based customer interaction.
Work Environment: Position is predominantly performed in an office environment, with occasional time spent in an adjacent warehouse or parts storage area to verify inventory or coordinate shipments. Noise levels are generally low to moderate. Some exposure to warehouse conditions (temperature variation, proximity to stored medical equipment and parts) may occur when coordinating with parts/inventory staff.
