REPORTS TO: DIRECTOR OF BUSINESS OPERATIONS

The Exclusive Brands Coordinator is responsible for partnering with the EB Director of Business Operations, key cross functional leadership and partners to execute on various business process activities. One key activity includes the execution of various calendar management activities including updating the business calendar and vendor calendars for leadership approval, invitations, agenda and distribution lists. Other areas of support include data entry, standard operating procedure tool updates, travel research and bookings, expense management, and partnering with non-merch procurement for supply management (supplies for operations).

A successful Exclusive Brands Coordinator has a can-do, positive approach and thoroughly enjoys administrative support work with a servant leadership approach. Identifies with cultures that are fast-paced, humble and has a flexible mindset with work and shifts to priorities and deadlines.

Formulates partnerships across all EB functions to deliver value-added service to management and employee partners that reflects the business objectives of the organization. The ideal candidate will have experience in administrative, project management, calendar management, domestic and international travel and general supply management, as well as manage various administrative tasks in a timely and accurate manner.

Essential Duties and Responsibilities

  • Provide general administrative support (calendar, travel, data entry, project mgmt. + general non- merchandizing supply management, as well as any other administrative support that is requested
  • Responsible for responding to calendar tool updates in a timely; including team communications regarding shifts to the calendars
    • Business Calendar
    • Vendor Calendar
    • Microsoft Outlook Calendar Invitations
    • Microsoft Outlook Calendar Distribution lists
    • Milestone meeting agendas
    • Organizing business meetings and lunches with key vendors
  • Generate and distribute reports upon request
  • Make recommendations to streamline and improvement processes
  • Answer employee partners queries about EB Calendar, Travel, Supply and Event related tasks
  • Participate in EB Projects with administrative support when necessary
  • Build out Standard Operating Procedures (SOP) for as requested by Director of Operations
  • Apply adjustments to the Company Organizational Chart as needed
  • Demonstrates high level of quality work, attendance and appearance.
  • Demonstrates high degree of professionalism in attitude, communication, and teamwork with vendor partners, peers and management.
  • Adhere to all local, federal and state laws in addition to Company policies, procedures, and practices.
  • Performs any other duties that may be assigned by management.

Qualifications

  • Strong communication, customer service, time management and organizational skills.
  • Proven work experience as an Administrator, Administrative Assistant, Coordinator or relevant role
  • Solid experience with MS Office Applications in particular, with an emphasis with Outlook, Excel, PowerPoint + SharePoint
  • Excellent organizational skills, with an ability to prioritize important projects
