In this role, you'll help support operations by serving as a key resource for caregivers and clients, ensuring services remain staffed, coordinated, and running smoothly when support is needed most.

Job Description

As a Staffing Coordinator, you will support the daily coordination of caregiver schedules and client services, ensuring appropriate staffing coverage and exceptional customer service. Acting as the primary coordinator for your assigned caseload, you'll partner with caregivers, clients, families, and internal teams to ensure services are scheduled, staffed, and delivered successfully.

This is a high-volume, fast-paced role requiring strong follow-through, sound judgment in urgent situations, and the ability to manage competing priorities while maintaining a positive experience for clients and caregivers.

  • Scheduling & Coverage Coordination: Coordinate caregiver schedules, ensuring appropriate caregiver matching, continuous coverage, and timely response to call-offs, schedule changes, and urgent staffing requests.
  • Client, Family & Caregiver Communication: Serve as a primary point of contact for caregivers, clients, and families by providing scheduling updates, addressing service concerns, communicating changes, and delivering exceptional customer service through high-volume phone and written communication.
  • Service Coordination: Coordinate new and ongoing services by communicating client needs, caregiver availability, and scheduling updates to ensure continuity of care.
  • Interdisciplinary Collaboration: Partner with recruiting, operations, and other internal teams to support staffing needs, caregiver onboarding, and successful service delivery.
  • Scheduling & Service Utilization Monitoring: Monitor caregiver schedules, authorized service hours, staffing needs, and client schedules to identify coverage gaps, maximize utilization, and support new referrals and service requests.
  • Documentation & Operational Support: Maintain accurate scheduling records, caregiver communications, and client updates within company systems while adapting to shifting priorities in a fast-paced environment.
Qualifications

MUST HAVE:

  • Education: High school diploma or equivalent.
  • Language Skills: Bilingual (English and Spanish).
  • Scheduling & Coordination Experience: 2+ years of experience in staffing, scheduling, service coordination, healthcare, home care, or a related customer service environment.
  • Customer Service Experience: Experience working in a phone-based environment (approximately 65% of duties), requiring strong prioritization, responsiveness, and real-time coordination of schedules and service needs.
  • Microsoft 365 Proficiency: Advanced Microsoft 365 skills (Excel, Word, PowerPoint, Teams, SharePoint).

NICE TO HAVE:

  • Healthcare & Home Care Experience: Experience working in healthcare, home care, or caregiver staffing environments.
  • High-Volume Scheduling Experience: Experience managing caregiver schedules, call-offs, urgent staffing requests, and competing priorities in a fast-paced environment.
  • Scheduling & Care Coordination Systems: Experience using scheduling or care coordination platforms such as MatrixCare or similar systems.
