Front Office Administrator – Public Accounting Firm

Location: Rockville, MD (On-site)

Job Type: Full-time

Compensation: Approximately $50,000 annually (DOE)

Our client, a respected public accounting firm in Rockville, is seeking an experienced Front Office Administrator who understands the pace and professionalism of a tax and accounting practice. This position is ideal for someone who has previously supported CPAs, tax professionals, or financial advisors and enjoys creating an exceptional client experience while keeping the office running efficiently.

As the first point of contact for clients, you'll play an important role in supporting tax engagements, managing client communications, coordinating schedules, and ensuring smooth administrative operations throughout the year—especially during busy tax seasons.


What You'll Do

  • Welcome clients and visitors with a polished, professional, and service-oriented approach.
  • Manage incoming phone calls, client emails, and front desk communications.
  • Coordinate appointments and calendars for partners, CPAs, and tax professionals.
  • Prepare, organize, and maintain confidential client files and engagement documentation.
  • Assist with client onboarding, engagement letters, tax organizers, and document collection.
  • Track incoming tax documents and help ensure information is routed to the appropriate team members.
  • Support workflow during tax season by assisting with administrative requests, client follow-up, and scheduling.
  • Process incoming and outgoing mail, packages, certified mail, and deliveries.
  • Order office supplies and help maintain an organized, client-ready office environment.
  • Perform general administrative duties including scanning, filing, document management, and data entry.


What We're Looking For

  • 2+ years of administrative or office management experience within a CPA firm, tax practice, bookkeeping firm, financial services firm, or other professional services environment strongly preferred.
  • Experience supporting accountants, tax preparers, or financial professionals.
  • Excellent customer service and communication skills.
  • Strong organizational skills with exceptional attention to detail and confidentiality.
  • Comfortable managing multiple priorities and deadlines, particularly during tax season.
  • Proficiency with Microsoft Office (Outlook, Word, Excel).
  • Experience with tax software, document management systems, client portals, or practice management software is a plus.
