Job description

Position Purpose:

Magpie Health Analytics (Magpie) is seeking a part-time, remote Federal Contracts Administrator to manage the day-to-day administration of the company's federal contracts and business agreements. The position is responsible for coordinating contract review, negotiation support, execution, modifications, tracking, and administration while maintaining organized contract records and ensuring appropriate legal and executive review. The Contracts Administrator will also help improve Magpie's contracts administration processes as the company continues to grow.

Primary Duties & Responsibilities:

This position reports directly to the CEO. It is structured around two major responsibilities: 85% Contracts Administration and 15% Process Improvement & Capability Development.

Contracts Administration (85%)

  • Serve as the primary administrator for Magpie's federal contracts and business agreements throughout their lifecycle.
  • Coordinate the preparation, review, negotiation, execution, and administration of Non-Disclosure Agreements (NDAs), Teaming Agreements, Prime Contracts, Subcontracts, Task Orders, Statements of Work (SOWs), Contract Modifications, and related contractual documents.
  • Perform initial contract reviews, prepare routine redlines, identify non-standard terms, and coordinate agreements requiring executive or legal review.
  • Coordinate contract approval routing, signature collection, execution, and contract closeout activities.
  • Track contract obligations, deliverables, option periods, modifications, notices, renewals, and other key contractual milestones and deadlines.
  • Prepare routine contractual correspondence with customers, prime contractors, subcontractors, vendors, and business partners.
  • Coordinate with project managers and leadership to ensure contractual obligations are understood and fulfilled.
  • Coordinate with outside legal counsel on agreements requiring legal interpretation or other specialized legal review.

Process Improvement & Capability Development (15%)

  • Continuously improve Magpie's Contracts Administration function by developing scalable processes, tools, and best practices.
  • Develop and maintain standard operating procedures, templates, checklists, playbooks, and workflow documentation supporting the contract lifecycle.
  • Recommend improvements to contract repositories, tracking systems, reporting, and contract management tools.
  • Develop dashboards, reports, and other mechanisms that improve visibility into contract status, obligations, and key milestones.
  • Help establish standard negotiation positions, review workflows, and escalation criteria in coordination with executive leadership and legal counsel.
Minimum Qualifications:
  • Bachelor's degree in Business Administration, Contracts Management, Legal Studies, Public Administration, or a related field (or equivalent professional experience).
  • 5+ years of experience administering federal government contracts for a government contractor.
  • Demonstrated experience administering FAR-based prime contracts, subcontracts, contract modifications, and business agreements, including NDAs and Teaming Agreements.
  • Working knowledge of the Federal Acquisition Regulation (FAR) and standard federal government contracting practices.
  • Demonstrated ability to manage multiple concurrent agreements, prioritize competing deadlines, and recognize issues requiring executive or legal escalation.
  • Experience working remotely and collaborating effectively across distributed teams.
Preferred Qualifications:
  • Experience supporting CMS, HHS, or other Federal Civilian agencies.
  • Experience supporting small or growing government consulting firms.
  • Certified Federal Contracts Manager (CFCM), Certified Professional Contracts Manager (CPCM), or similar professional certification.
  • Experience supporting proposal development, solicitation review, teaming negotiations, subcontract formation, and contract negotiations.
  • Experience working with outside legal counsel and familiarity with organizational conflict of interest (OCI) requirements.
  • Experience supporting SBA small business programs, mentor-protege joint ventures, or subcontracting relationships.
