Our Brentwood, TN office has an exciting opportunity for a part-time Receptionist! As the first point of contact for clients, vendors, and visitors, this role is essential to creating a welcoming and professional environment. The Receptionist supports the daily operations of our financial advisory office, ensuring seamless administrative and client service.

This role is an on-site position. The schedule is part-time: 26 hrs/wk (6.5 hours per day x 4 days per week). The hours are Monday-Thursday, 9am-4pm, with a half-hour lunch break each day.

In the spirit of pay transparency, we are excited to share the hourly rate for this position is $30.00 per hour.

Primary Job Functions

Reception and Administrative Duties

  • Greet clients and visitors warmly and professionally, ensuring a positive first impression.

  • Answer and direct incoming phone calls promptly and courteously.

  • Manage the office calendar, including client appointments and internal meetings.

  • Prepare and maintain beverage stations; obtain beverages for clients as needed.

  • Support advisors and staff with administrative tasks such as data entry, filing, and scanning.

  • Manage incoming and outgoing USPS, FedEx, and UPS mail deliveries.

Reception and Common Areas

  • Maintain a clean and organized reception area, conference rooms, and kitchen.

  • Order and manage office supplies and refreshments.

Projects

  • Support special projects as assigned.

  • All other duties as assigned.

Education/Qualifications

  • High school diploma, or equivalent experience

  • Previous receptionist or office experience preferred

  • Well-developed written and verbal communication skills, with the ability to interact effectively at all levels of the organization

  • Detail oriented, highly organized, and adaptable

  • Experience with Microsoft Office Suite

  • CRM experience preferred

  • Knowledge of business office procedures

  • Familiarity with Salesforce and Workday a plus

  • Demonstrated ability to effectively use AI tools and technologies in daily work tasks, including crafting effective prompts, evaluating AI-generated content for accuracy and appropriateness, and integrating AI tools to enhance productivity

  • Willingness to learn new AI applications and adapt to evolving technologies

  • Strong organizational skills and ability to prioritize work
