Job description


This Opportunity
We are seeking a Part-Time Project Coordinator to join our team in Irvine or Los Angeles, CA. where you will play a key role in supporting our team and ensuring the smooth execution of daily operations. The ideal candidate is a proactive, resourceful professional who brings strong communication and interpersonal abilities, paired with exceptional attention to detail. In this position, you will contribute to the continued growth of our organization by helping the team meet client objectives, navigate operational challenges, and maintain high standards of service and efficiency.
Your Impact
  • Manage supplier setups, prepare purchase requisitions, process supplier invoices, and collaborate with the accounting team to ensure timely and accurate payments.
  • Use a P-Card to purchase supplies and equipment for project and site managers, followed by monthly reconciliation of all transactions.
  • Assist team members with travel arrangements and prepare expense reports to ensure accuracy and compliance.
  • Draft proposal letters and maintain proposal folders within SharePoint to support business development efforts.
  • Create project Teams sites, maintain electronic filing systems, and ensure all project documentation is organized and up to date.
  • Support Project Managers by preparing submittals for client review and maintaining the submittal register.
  • Help the project team complete closeout activities, ensuring all documentation and deliverables are finalized.
  • Take on other responsibilities as needed to support evolving business needs and team operations.
Who You Are
Required Qualifications
  • High school diploma or equivalent required.
  • 7+ years of administrative or related experience.
  • Intermediate proficiency in Microsoft Office Suite, including Word, PowerPoint, Excel, Outlook, Teams, and SharePoint.
  • Proven ability to work effectively in team environments while managing multiple priorities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Positive attitude with a strong commitment to customer service.
  • Must be able to pass a background check.

Preferred Qualifications
  • Bachelor's degree in Business Administration preferred.

Compensation
Expected Salary: $33.13 - $50.10
WSP USA is providing the compensation range that the company in good faith believes it might pay and offer for this position, based on the successful applicant's education, experience, knowledge, skills, abilities in addition to internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant's sex or other status protected by local, state, and/or federal law.
