What is part time project management?

Part time project management involves overseeing and coordinating projects while working fewer hours than a standard full-time schedule. Part time project managers are responsible for planning, executing, and monitoring projects, but typically manage a smaller workload or number of projects. This role is ideal for organizations with limited project needs or professionals seeking work-life balance. Part time project managers use the same tools and methodologies as their full-time counterparts, ensuring projects are completed on time and within budget. Flexibility and strong communication skills are key to success in this position.

How do part-time project managers balance multiple projects and communicate effectively with full-time team members?

Part-time project managers often juggle several projects simultaneously, requiring strong organizational skills and proactive communication. They typically rely on clear scheduling, regular status updates, and digital collaboration tools to stay aligned with full-time team members and stakeholders. Establishing set check-in times and leveraging project management software helps ensure everyone stays informed and progress remains on track. Open communication and setting expectations early are key strategies for success in a part-time project management role.

What are the key skills and qualifications needed to thrive as a part time project manager, and why are they important?

To thrive as a Part Time Project Manager, you need strong organizational, leadership, and time management skills, often supported by a background in business or project management and experience leading teams. Familiarity with project management software like Asana, Trello, or Microsoft Project, and certifications such as PMP or CAPM, are commonly valued. Excellent communication, adaptability, and problem-solving abilities help you effectively coordinate tasks and stakeholders within limited hours. These skills ensure that projects stay on track and objectives are met efficiently, even within a part-time schedule.

Job description

About spēks

spēks is a Tempe-based promotional products, print, and apparel company with 18+ years in the branded merchandise industry. We are a lean, quality-driven team that moves with purpose. If you find genuine satisfaction in a well-run operation and take personal pride in getting things right the first time, you will fit right in here.

About This Role

This is a process-driven, ownership-minded role built for someone who thrives on structure, accuracy, and a clean operation. You will own the fulfillment and inventory cycle from inbound shipments to outbound orders and keep things running independently, without needing to be managed closely.

Think of it as running your own small domain: a well-defined inventory and shipping operation that one organized, self-directed person can manage confidently. This is a professional office setting, not a warehouse. You will maintain a compact, tidy workspace that reflects your own standards.

You will report to our Head of Operations and work on-site alongside a small team. If routine energizes you, errors bother you, and you want to fully own your lane, this role was built for you.

This role is NOT for someone who needs frequent direction, prefers high variety, or is energized primarily by people interaction.

What You Will Own

Inventory Management

  • Receive, inspect, count, and shelve inbound shipments
  • Maintain accurate inventory counts and update tracking systems in real time
  • Label, organize, and keep the physical inventory space folded, sorted, and shelf-ready
  • Flag discrepancies or shortages before they become problems

Order Processing and Data Entry

  • Manually enter online store orders into internal systems with zero tolerance for input errors
  • Verify pricing, quantities, sizes, and vendor details on every order
  • Identify and resolve order discrepancies independently

Fulfillment and Shipping

  • Pack and ship orders per client specs and internal documentation
  • Compare carrier rates (FedEx, USPS, UPS) and make informed shipping decisions
  • Build and maintain client swag kits and ensure all outbound shipments are accurate and on time
  • Run local vendor and errand pickups as needed (valid driver's license required)

Office and Workspace

  • Maintain a clean, organized, and fully stocked shipping and inventory area; how this space runs reflects your standards
  • Ensure boxes, packing supplies, and materials are always on hand

Client Communication

  • Answer incoming calls, handle basic inquiries (order status, password resets), and route to the right team member
  • Call volume is light; some days none, with a max of around 10 on the busiest days

Who Thrives Here

The right person for this role:

  • Gets things right the first time and takes errors personally
  • Builds a routine and executes it without being reminded
  • Figures out what needs to happen next without waiting to be told
  • Asks good questions early, then owns the process independently
  • Is content working heads-down with minimal social interaction

You are probably not the right fit if:

  • You need frequent check-ins to feel on track
  • Repetitive tasks feel boring rather than satisfying
  • You prefer high variety, lots of people interaction, or creative problem-solving

*** One More Step: Aptive Index Assessment. ***

We use the Aptive Index to better understand how people are naturally wired to work. As part of our process, we ask all applicants to complete a short assessment. It takes about 10 minutes and helps us make sure this role is genuinely a great fit for you, not just on paper.

Qualifications

Required:

  • Reliable transportation and valid driver's license
  • Ability to lift up to 35 lbs, pack boxes, and stand for extended periods
  • Comfort with data entry and basic computer systems
  • Strong attention to detail (non-negotiable)

Preferred:

  • Familiarity with shipping platforms (FedEx, DHL, USPS, UPS)
  • Experience with Google Workspace
  • Background in promotional products, print, or branded merchandise (a plus, not required)

A degree is not required for this role.

Work Details

  • Part-time: 20 to 30 hours per week
  • Flexible scheduling within Monday through Friday, 8:00 a.m. to 4:00 p.m.
  • Schedule is set once and followed consistently; flexibility is available upfront, not ongoing
  • On-site only in Tempe, AZ (no remote option)
  • Starting at $20/hour based on experience
  • Opportunity for expanded hours or full-time transition based on performance
