Key Responsibilities & Duties

  • Maintain client electronic health records, including opening and closing charts.
  • Collect and manage medical, developmental, social history, and plan of care documentation.
  • Obtain and track consent forms, physician orders, certifications, and other clinical documentation.
  • Verify insurance eligibility and authorizations.
  • Provide exceptional customer service to families, therapists, and stakeholders.
  • Upload and maintain documentation in TRAC-IT and other required systems.
  • Support office operations including scanning, filing, mailing, faxing, and record management.
  • Maintain compliance with HIPAA and SOAR365 policies.
  • Participate in training, meetings, and team initiatives.

Requirements & Qualifications

  • High School diploma or GED required; related education preferred.
  • Experience in healthcare, therapy, pediatric, or clinical office settings preferred.
  • Strong written and verbal communication skills.
  • Excellent customer service and organizational abilities.
  • Proficiency with Microsoft Office and standard office equipment.
  • Knowledge of Early Intervention Services, infant/toddler development, or Part C programming preferred.

Hours & Schedule

Employment Type: Full-Time or Part-Time

We are currently recruiting for a full-time Clinical Office Administrator; however, qualified applicants interested in part-time employment are also encouraged to apply.

Typical schedule: Monday–Friday, standard business hours. Full-time and part-time schedules are available and will be discussed during the interview process based on departmental needs and candidate availability. This position is on-site.
