Veterinary Client Service Representative - Equine
Elgin Veterinary Hospital
Elgin, TX
Part-time : About 18-20 hours per week. Must be available Thursday and Friday 9a-6pm . No weekends
About You
You are a warm, organized, and dependable professional who enjoys creating a welcoming experience for clients while helping a busy equine practice run smoothly. You communicate clearly, stay composed in a fast-paced environment, and take pride in providing excellent service from the first phone call to check-out. You're comfortable juggling scheduling, client questions, and administrative tasks, and you value being part of a team that supports both exceptional patient care and a positive client experience.

Responsibilities (include but are not limited to) :
  • Client Communication: Serve as the primary point of contact for clients, offering friendly and professional assistance in person, over the phone, and via email. Schedule appointments and address client inquiries and concerns promptly.
  • Front Desk : Greet clients, check them in for appointments, and maintain a clean and organized reception area. Ensure accurate updating of patient records and monitor inventory levels.
  • Financial Duties: Handle invoicing processes, verify charges, and follow up on outstanding payments. Contact clients for overdue balances and resolve billing discrepancies in collaboration with management.
  • Appointment Scheduling: Coordinate appointments for consultations, procedures, and follow-up visits. Manage the clinic's appointment calendar to optimize resource utilization.
  • Medical Records Management: Maintain electronic and physical patient records with accuracy and confidentiality. Assist veterinarians in accessing patient information during appointments.
  • Other tasks as assigned

Qualifications:
  • High School diploma or equivalent required
  • Previous experience in a veterinary clinic, large animal experience required
  • Proficiency in veterinary practice management software and Microsoft Office suite.
  • Strong interpersonal skills, attention to detail, and ability to multitask in a fast paced environment.
  • Compassionate attitude towards animals and clients, with a commitment to delivering exceptional service.
  • Spanish-speaking skills are a plus
