Job Summary

CU Boulder is seeking an organized, diligent, service focused, and research focused Operations Coordinator to support the daily operations and functional effectiveness of the Program Management Office (PMO) in Research & Innovation. This 50% time position is an office enablement role that coordinates workflows, operational processes, business systems, administrative functions, and reporting activities that help the PMO deliver project and program management services across the university.

This position serves as a foundational office enablement role within a growing, research-focused PMO. The role supports the operational infrastructure, intake workflows, business systems, reporting practices, and team coordination needed to scale PMO services across the university.

This is an excellent opportunity for an organized professional who enjoys building systems, improving processes, and helping a growing office operate optimally. Working closely with the PMO Director, the PMO Coordinator supports operational priorities, resource planning, reporting, team coordination, and the development of efficient and scalable PMO practices. Responsibilities may expand based on office priorities, organizational needs, and the successful candidate's experience. This position reports to the Director of the Program Management Office.

Who We Are

The PMO partners with CU Boulder faculty and staff to provide strategic guidance, project management resources, talent development, and outreach for research programs and sponsored projects. What Your Key Responsibilities Will Be

Operations Coordination:

  • Coordinate day-to-day PMO workflows, office priorities, operational requests, and office-level initiatives.
  • Track operational tasks, action items, timelines, and follow-up activities to support timely completion of PMO priorities.
  • Create, maintain, and support continuous improvement of PMO operational SOPs, internal processes, and office practices.
  • Maintain accurate operational records, shared files, contacts, and tracking information that support PMO management and reporting.

PMO Business Systems, Intake & Reporting:

  • Coordinate PMO project, program, and service intake processes, including monitoring the shared inbox and routing new requests through established workflows.
  • Collect, organize, and maintain operational data to support workload planning, effort distribution, resource forecasting, portfolio understanding, and management decision-making.
  • Support the development, maintenance, and improvement of PMO dashboards, operational metrics, and reporting tools.
  • Prepare operational data summaries, dashboard updates, and reporting materials for review by the PMO Director.
  • Support data quality and integrity across PMO systems, tracking tools, and shared resources.

Office Operations & Team Enablement:

  • Coordinate PMO team meetings, agendas, meeting materials, notes, decisions, and action items.
  • Coordinate technology requests, equipment needs, and operational support with campus partners.
  • Assist with onboarding, offboarding, recruitment logistics, and operational support for PMO staff.
  • Coordinate operational activities and requests with other campus service partners.
  • Identify, coordinate, and implement practical operational solutions, logistics, and office support that enable PMO staff to work effectively.

PMO Technology & Knowledge Management:

  • Maintain PMO SharePoint sites, operational resource libraries, shared documentation, and collaboration workspaces.
  • Organize templates, guidance documents, standard operating procedures, operational reference materials, and version-controlled resources.
  • Support administration, accessibility, and consistency of PMO tools, shared systems, and knowledge management practices.

Secondary Responsibilities, As Capacity Allows:

  • Draft internal communications, newsletters, office announcements, and related PMO updates.
  • Assist with development of templates, guidance documents, operational resources, and continuous improvement materials.
  • Support PMO-hosted workshops, events, outreach activities, and additional operational needs as office priorities and capacity allow.
What You Should Know
  • This 50% time position offers a hybrid work modality. This role supports PMO operations and may require occasional flexibility to support office priorities, meetings, workshops, operational timelines, or other time-sensitive PMO activities.
  • This position is funded through June 30, 2027 with the possibility of extending the appointment dependent on funding.
  • This position is benefits-eligible including medical, dental, and vision plans, and paid leave.

The annual hiring range for this 50% time position is $30,000-$35,000.

What We Require
  • Bachelor's degree from an accredited institution or equivalent combination of education and professional experience.
  • Experience supporting office operations, business operations, project coordination, administrative functions, or related work.
    • An equivalent combination of relevant education and/or experience may substitute.

  • Experience supporting programs or events in a university, research, or industry setting.
  • Proficiency with data tracking and reporting tools (e.g., Excel, SharePoint Lists, Power BI).
