Office Administrator - Part-time (approximately 20 hours per week)

We are seeking a self-motivated and energetic administrative professional to join our Lexington office, to help support this Vision. Hazen is a creative, employee-owned company with minimal bureaucracy where employees thrive. In this role, you will be pivotal in providing support to the local staff in your home office as well as other regional offices, ultimately supporting our goal of providing exceptional client service. The ideal candidate is a team player and self-starter with exceptional organizational skills and the ability to work independently, as well as in a team environment. The ability to multi-task and adapt to changing priorities is essential to this position. 

Responsibilities: 

  • Provide front desk coverage, including greeting clients and other guests, and handling incoming calls. 
  • Receive and control incoming and outgoing correspondence. 
  • Coordinating deliveries, Federal Express and UPS to ensure administrative activities effectively and efficiently support the Firm. 
  • Assist engineers with production of technical documents, including reports, proposals, presentations, and specifications, including typing, proof-reading, copying, and assembling. 
  • Assistance with monthly invoicing and filing. 
  • Manage office meetings/events and document control (electronic and in-office filing system).
  • Oversight of furniture and equipment, as well as assuming role of liaison with building maintenance, janitorial and security services. 
  • Inventory and purchase of office/kitchen supplies and interfaces with vendors to ensure all products are appropriately negotiated, ordered, and delivered. 
  • Coordinate catering and meal arrangements for staff and guests during meetings, training sessions, and other business functions, including ordering, scheduling, and related logistics as needed. 
  • Support the Lexington and Louisville office team, as required. 
  •  Periodic travel may be required (approximately 10%) 

Qualifications: 

  • High School Diploma required. Professional degree preferred. 
  • Excellent written and verbal communication skills, with the ability to interact with a variety of staff, clients, and vendors. 
  • Ability to obtain and maintain a Notary Public commission within 90 days of hire. 
  •  Strong multi-tasking skills – manage priorities, coordinate multiple/concurrent projects. 
  • emonstrates strong work ethic; develops efficient work methods and is detail oriented. · Proficiency in Microsoft Office Suite – Word, Excel, Outlook, PowerPoint, SharePoint. 
  • Proficiency with Adobe, Bluebeam, Procore or Forma software is desirable, but not required upon hire. 
  • Prior experience in a professional services firm preferred. Experience in the engineering industry is a plus.
