Job description

Job Summary: Maintains all personnel files and attendance records; serves as primary relief for Payroll and Employee Benefits Administrator; and provides primary relief for Receptionist.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Collects, reviews, and reconciles employee electronic timekeeping records to ensure payroll accuracy.
  2. Maintains personnel files and employment records, with responsibility for documentation related to the onboarding and orientation of full time and  part time employees.
  3. Serves as the primary backup to the Payroll and Employee Benefits Administrator by processing payroll, preparing payroll deposits, verifying the timely payment of federal and state payroll taxes, and balancing payroll registers.
  4. Enters and maintains employee information in Paycom, including new hire setup and payroll data updates. Assists with the administration of payroll deductions, including garnishments, voluntary deductions, and employee benefit deductions. Verifies employment eligibility through E-Verify.
  5. Administers employee benefit enrollments for eligible employees, including pension, disability, 401(k), life insurance, dental, vision, and supplemental voluntary insurance plans. Processes and reconciles monthly benefit invoices.
  6. Maintains compliance with federal employment eligibility requirements by accurately completing and retaining Form I-9 documentation.
  7. Completes employment and wage verification requests and submits required monthly employment reports to the Department of Labor.
  8. Processes and files Workers’ Compensation claims and maintains related documentation.
  9. Provides reception desk coverage during scheduled breaks, lunches, and other periods of absence, ensuring uninterrupted front office operations.

    Knowledge and Skill Requirements:

    1. HR/Payroll experience preferred including use of HRMS software which automates payroll, attendance, leave, recruitment, performance, and compliance such as ADP, Paycom, UKG, Paychex, etc..
    2. Must evidence high degree of confidentiality.
    3. Demonstrate proficiency in general math, oral skills, organization of material, and attention to detail.
    4. Possesses general PC knowledge, with demonstrated skills in Microsoft office software.
