Part-Time ESP Clerical
Job Description
Position: Part-Time ESP Clerical
Reports to: Building Principal or designee as appropriate
Terms of Employment: 10 months; not to exceed 27.5 hours weekly
Basic Function: Under the supervision of the Building Principal or designee, the Part-Time ESP Clerical employee provides supportive office services to maintain a welcoming, organized, and efficient front office that aligns with District 100 Service Excellence Standards. This role supports school operations, student services, and communication with families and staff.
Qualifications:
- High School diploma or equivalent
- Experience with Word, Excel, Google Drive, e-School, PushCoin, and Skyward (some positions)
- Bilingual preferred, not required
- Ability to demonstrate Service Excellence in all interactions with people
- Basic office skills (answering phones, filing, operation of basic office equipment such as copiers, fax, email, electronic calendars, etc.)
- Ability to multitask
- Good organizational skills
- Ability to handle confidential information in a discreet manner
- Ability to work well and collaborate with others
- Ability to maintain confidentiality and discretion when dealing with school employees and the public
Primary Responsibilities:
- Greet and assist visitors, parents, students, and staff in a courteous and professional manner
- Answer telephones; take messages and route calls appropriately
- Prepare and format correspondence, memos, forms, and newsletters from notes or drafts
- Maintain office records and filing systems, including student files and attendance records
- Assist with student registration, transfers, and withdrawal processes
- Support accurate data entry in student information systems and lunch/milk programs
- Assist with daily attendance tracking and follow-up with families when needed
- Provide basic support to students referred to the office or nurse
- Sort, distribute, and handle incoming/outgoing mail
- Coordinate scheduling for conferences, meetings, and substitute coverage
- Maintain supply inventory and assist with ordering and receiving deliveries
- Support documentation for residency, homelessness, or free/reduced lunch verification
- Assist with basic bookkeeping for student activity accounts or field trips
- Perform additional clerical duties as assigned by the principal or designee
