Job Description:

This recruitment will be used to fill four part time (a maximum of 20 hours per week) Student Clerical positions for the Office of the Registrar at Oregon State University (OSU).

The Office of the Registrar is a mission-critical unit at Oregon State University, supporting student success through enrollment and instructional services, academic records management, and assistance to students, faculty, and staff. Guided by excellence, equity, collaboration, innovation, and a commitment to confidentiality, we foster an inclusive workplace where all individuals are valued and respected.

The student employee position is part of the Academic Operations Team and reports to the Assistant Registrar for Academic Records. Student employees support Academic Records Specialists through a variety of administrative tasks, including customer service, answering questions by phone, email, and in person, document imaging, and records processing. As experience grows, student employees take on increased responsibility and more complex assignments.

Through this role, students gain valuable experience in a professional office environment while contributing to the integrity of student records and supporting the university's mission.

The Undergraduate Student Clerical Worker performs general office work such as typing, copying, filing, sorting, indexing, reception duties, and accounting tasks.

Position Duties:

  • Greet office visitors and answer general questions from students and staff.

  • Assist with answering questions by phone and via email.

  • Distribute student documents, transcripts, and diplomas as needed.

  • Coordinate the pickup, sort, and distribution of Office of the Registrar mail.

  • Scan documents into OnBase (electronic document management system).

  • Verify the accuracy of documents scanned into OnBase by other student employees.

  • Assist with special projects and other duties as needed.

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study

  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment

  • Must meet the applicable minimal enrollment standard

    • High School student: Regularly enrolled in a high school or participating in a home-schooling program

    • Undergraduate and post-baccalaureate student: 6 credit hours per term

    • Undergraduate international student: 12 credit hours per term*

    • Graduate student officially admitted to Graduate School: 5 credit hours per term

    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*


*International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by theOffice of International Services(OIS), and must be provided to the Student Employment Center.
