Position Summary
The SMAT Administrative Coordinator reports to the Operations Manager and provides administrative, operational, and logistical support to the School of Music, Art, and Theatre (SMAT).
Duties and Responsibilities
Facility & Equipment Operations
  • Space Reservations: Facilitate and oversee SMAT space reservations (specifically applied, chamber music, and ad hoc reservations).
  • Building & Room Access: Coordinate access to spaces and equipment in collaboration with the Operations Manager, Campus Security, and Department Chairs (e.g. building access, practice rooms, woodshop, lockers, etc.).
  • Equipment & Inventory: Maintain equipment inventory lists. In conjunction with the Operations Manager and appropriate faculty, coordinate equipment needs, purchases, repairs, and upgrades (e.g. string/ww/brass instruments, plotter printer, etc.).
  • Workroom & Supplies: Oversee the faculty/staff workroom, manage office supply inventory and purchasing, and facilitate purchases of equipment, supplies, and instructional materials.

Academic & File Management
  • File Management & Records: Facilitate timely collection, organization, and maintenance of files (e.g., syllabi, resumes, evaluations, assessment materials, credentials forms, exit surveys, student files, etc.) .
  • Juries & Student Recital: Coordinate juries (gathering faculty availability, scheduling, room reservations, equipment and room setup needs, communication to students, etc.) and assist with operational logistics for the Student Recital course.
  • Donated Materials: Administer the process for donated materials.

Social Media & Communications
  • Social Media & Web: Manage SMAT social media accounts and submit events/announcements to the university weekly bulletin and website.

General Administrative Support
  • Student Workers: Assist with hiring and scheduling student workers.
  • Meetings: Attend weekly SMAT meetings (and other departmental meetings as needed) and record meeting minutes.
  • Departmental Support: Support the needs of the SMAT Department Chairs and assist the Operations Manager with recruitment, admissions and event coverage on an as-needed basis.
  • Special Projects: assist the SMAT Associate Dean with special projects and perform other duties as assigned.

Salary: $25 per hour (25 hours per week)
* Weekly hours may decrease during the summer
Requirements
  • Bachelor's degree (preferably in the arts)
  • Experience working in arts management.
  • Available on occasional evenings and weekends.
  • Have excellent attention to detail and superb organizational and planning skills.
  • Be customer friendly and hospitable.
