What is the difference between Part Time Certified Bookkeeper vs Part Time Bookkeeper?

AspectPart Time Certified BookkeeperPart Time Bookkeeper
CertificationsTypically requires certification (e.g., Certified Bookkeeper)Usually no certification required
Work EnvironmentAccounting firms, small businesses, or freelanceSmall businesses, retail, or service industries
Employer & Industry UsageUsed in industries valuing certified expertiseCommon across various industries without certification emphasis

The main difference is that a Part Time Certified Bookkeeper has professional certification, indicating verified skills, while a Part Time Bookkeeper may not have formal credentials. Certified bookkeepers often handle more complex financial tasks and are preferred by employers seeking verified expertise, whereas non-certified bookkeepers focus on routine bookkeeping duties.

What are some common challenges faced by part time certified bookkeepers, and how can they be managed?

Part-time certified bookkeepers often manage multiple clients or juggle bookkeeping for several departments, which can make time management and prioritization challenging. Coordinating with full-time staff to obtain timely documentation and staying updated with client needs are also common hurdles. To overcome these challenges, it's important to establish clear communication routines, use cloud-based accounting software for real-time data access, and set boundaries regarding availability. Building strong relationships with team members and proactively scheduling regular check-ins can help ensure smooth workflow and accuracy.

What are the key skills and qualifications needed to thrive as a part time certified bookkeeper?

To thrive as a Part Time Certified Bookkeeper, you need solid accounting knowledge, attention to detail, and certification such as the Certified Bookkeeper (CB) designation. Familiarity with accounting software like QuickBooks, Excel, and payroll systems is typically required. Strong organizational skills, integrity, and effective communication help bookkeepers manage records accurately and work with clients or team members. These skills ensure financial data is precise, compliant, and accessible, supporting sound business decisions and regulatory requirements.

What is a part time certified bookkeeper?

Part Time Certified Bookkeepers are accounting professionals who work fewer hours than a full-time schedule, typically providing bookkeeping services such as managing financial records, reconciling accounts, processing payroll, and preparing basic financial reports. They hold a certification—often through organizations like the American Institute of Professional Bookkeepers (AIPB) or the National Association of Certified Public Bookkeepers (NACPB)—demonstrating their expertise and commitment to ethical standards. Part time roles are ideal for small businesses or organizations needing professional bookkeeping support without the cost of a full-time employee.

Job description

Senior Helpers is a leading provider of in-home senior care dedicated to improving the quality of life for seniors and their families. We are a growing healthcare organization seeking an experienced, detail-oriented accounting professional to join our team.
This is an on-site position based in our Bolingbrook office. The position will begin on a part-time basis (approximately three days per week) with the expectation of growing into a full-time Accounting Manager role as the company continues to expand.
Position Summary
We are seeking an experienced Bookkeeper / Staff Accountant with advanced QuickBooks Online experience to oversee the day-to-day financial recordkeeping for our company.
Initially, the position will focus on learning our accounting structure and maintaining our QuickBooks Online accounts. Once the successful candidate has demonstrated a strong understanding of our financial processes, additional responsibilities will include client billing and payroll processing through WellSky. Payroll is processed through our Professional Employer Organization (PEO), so this role focuses on payroll preparation, accuracy, reconciliation, and coordination rather than payroll tax filing or HR administration.
We are looking for someone who wants to build a long-term career with our organization and become a trusted member of our leadership team.
Primary Responsibilities
  • Manage all bookkeeping activities using QuickBooks Online
  • Record and categorize daily financial transactions
  • Reconcile bank accounts and credit card statements
  • Maintain accounts payable and accounts receivable
  • Prepare monthly financial statements and management reports
  • Process journal entries and account adjustments
  • Monitor cash flow and assist with budgeting
  • Organize financial records for tax preparation and audits
  • Identify discrepancies and resolve accounting issues
  • Maintain organized financial records
  • Work closely with ownership regarding financial reporting and business operations
  • Maintain strict confidentiality of all financial and employee information

Additional Responsibilities (After Training)
Once familiar with our accounting procedures and QuickBooks Online accounts, this position will also assume responsibility for:
  • Processing client billing through WellSky
  • Processing payroll through our PEO payroll system
  • Reviewing payroll for accuracy prior to submission
  • Coordinating payroll information between WellSky and our PEO
  • Reconciling payroll reports with company financial records
  • Assisting with month-end payroll and billing reconciliations
  • Working closely with management to ensure timely and accurate payroll and billing operations

Future Growth Opportunity
As our organization continues to grow, this role is expected to evolve into our Accounting Manager position. Additional responsibilities may include:
  • Oversight of all company bookkeeping and accounting functions
  • Ownership of QuickBooks Online and the month-end closing process
  • Accounts payable and accounts receivable management
  • Financial reporting and budget tracking
  • Client billing oversight through WellSky
  • Payroll coordination through our PEO
  • Workers' compensation payroll reporting and audit preparation
  • Coordination with our CPA for year-end tax preparation and financial reporting
  • Assisting ownership with budgeting, forecasting, and financial planning
  • Identifying opportunities to improve accounting processes and internal controls

Qualifications
Required
  • Minimum of 3 years of bookkeeping or accounting experience
  • Advanced proficiency with QuickBooks Online
  • Strong understanding of bookkeeping and accounting principles
  • Experience with bank reconciliations, accounts payable, accounts receivable, and financial reporting
  • Excellent Microsoft Excel skills
  • Exceptional attention to detail and accuracy
  • Strong analytical and problem-solving abilities
  • Ability to identify discrepancies and resolve accounting issues independently
  • Excellent organizational and time-management skills
  • Ability to prioritize multiple deadlines in a fast-paced office
  • Professional communication skills
  • Ability to maintain strict confidentiality
  • Ability to work independently with minimal supervision
  • High degree of integrity, professionalism, and dependability

Preferred
  • Payroll processing experience
  • Healthcare bookkeeping or billing experience
  • Experience with WellSky or similar healthcare software
  • Experience working with a Professional Employer Organization (PEO)

What We're Looking For
We are looking for someone who:
  • Takes ownership of their work
  • Is highly organized and detail-oriented
  • Enjoys improving processes and finding efficiencies
  • Has excellent integrity and discretion
  • Communicates professionally with management, vendors, and team members
  • Works well independently while also collaborating with others
  • Wants to grow into a leadership role as our Accounting Manager

Schedule
  • Part-time to start (approximately three days per week)
  • Opportunity to transition into a full-time position
  • Monday through Friday
  • This is an in-office position located in Bolingbrook, Illinois. Remote work is not available

Benefits
  • Competitive compensation based on experience
  • Opportunity for advancement into an Accounting Manager position
  • Professional growth within a stable and expanding healthcare organization
  • Supportive leadership team
  • Meaningful work serving seniors and their families

Hiring Process
Final candidates will be asked to complete a brief QuickBooks Online proficiency assessment. Employment is contingent upon successful completion of a criminal background check, employment verification, and professional reference checks.
How to Apply
Please submit your resume along with a brief cover letter describing your bookkeeping experience, specifically your experience with QuickBooks Online and why you believe you would be a strong fit for our team.
Attention to Detail: To help us identify applicants who carefully read instructions, please include the words "Balanced Books" in the subject line of your application or cover letter.
Compensation: $35.00 - $40.00 per hour
Our mission is to ensure a better quality of life, for both our clients and their families, by providing dependable and affordable care at a moment's notice. We are a trusted and respected organization that takes a responsible role in supporting our clients and their families, our employees, and our community. That's why we are Senior Care Only Better.
