Position Summary: Records and Billing Associate

The Billing Support Specialist position is a part-time role that reports to the Director of Operations. The incumbent ensures the accuracy, completeness, and timeliness of all billing inputs that feed the revenue cycle. This role supports the Billing Team by maintaining knowledge of all billed claims, resolving errors, tracking denials, and maintaining communication across clinical, operations, and intake teams. This role can function in dual roles as described below:

This position is essential to maintaining clean claims, reducing denials, accelerating cash flow, and supporting financial sustainability and growth.

The ideal candidate is detail-oriented, highly organized, and proactive, with the ability to manage multiple priorities while maintaining accuracy and confidentiality. This role works closely with program staff, finance, and leadership to ensure timely billing, resolve discrepancies, and support efficient record-keeping systems that align with the organization’s mission and compliance standards.

Minimum Qualifications

  • High school diploma or equivalent required; Associate’s degree in Business, Finance, Healthcare Administration, or a related field preferred
  • Minimum of 2 years of experience in billing, records management, or administrative support
  • Proficiency in Microsoft Office Suite, especially Excel
  • Experience with billing systems, accounting software, or data management platforms
  • Strong organizational and time management skills with the ability to meet deadlines
  • Excellent written and verbal communication skills

Preferred Qualifications

  • Experience in behavioral health, human services, healthcare, or nonprofit settings
  • Familiarity with Electronic Health Records (EHR) systems
  • Knowledge of Medicaid billing and/or insurance claim processes
  • Understanding of HIPAA and other confidentiality and compliance regulations
  • Certification in billing, medical administration, or records management is a plus
  • Demonstrated ability to analyze data and prepare reports

  • Generate and process accurate invoices based on services provided and program documentation
  • Maintain up-to-date financial and client-related records, ensuring accuracy, completeness, and confidentiality
  • Review documentation and billing data to ensure compliance with Medicaid, insurance, and organizational requirements
  • Identify, investigate, and resolve billing discrepancies and denials in collaboration with the billing team
  • Support month-end and year-end financial processes by preparing reports and documentation
  • Respond to billing inquiries from internal teams and external stakeholders in a timely and professional manner
  • Ensure compliance with HIPAA, organizational policies, and applicable regulatory standards
  • Assist in improving billing workflows, documentation practices, and record-keeping systems
  • Support audits and monitoring activities by maintaining organized and accessible records
