Job description
BDAC Operations Support position provides operational, administrative, and facility support for the Utah State Eastern Athletics Department and the Bunnell-Dmitrich Athletic Center. This position assists the Senior Athletics Operations Coordinator/BDAC Manager with day-to-day department operations, facility coordination, building needs, scheduling support, purchasing processes, event logistics, and general customer service.
This role is designed to provide hands-on assistance, backup coverage, and operational support so that athletics and BDAC functions continue to run effectively, especially during high-demand periods, events, or when the Senior Athletics Operations Coordinator/BDAC Manager is unavailable. The position requires someone who is dependable, detail-oriented, service-minded, and willing to assist with a wide variety of operational needs.
The position is based on support needs related to athletics operations, department scheduling, purchasing, facility usage, building access, maintenance requests, event logistics, and BDAC building operations identified in the current Operations Coordinator/BDAC Facility Manager duties.
Responsibilities
Assist with daily operational needs of the Athletics Department, including but not limited to:
- Assist with coordinating and maintaining gym schedules for athletic team use, internal calendars, CourseDog entries, and other scheduling systems as assigned.
- Provide general administrative support for athletics operations, including forms, records, documents, and department communication.
- Serve as a helpful point of contact for coaches, staff, student-athletes, campus partners, and community members by phone, email, and in person.
- Assist with departmental forms, tracking documents, internal processes, and operational workflows.
- Support the preparation, organization, and tracking of Letters of Intent and other athletics-related documents as directed.
- Assist with conference, region, and department administrative duties as assigned.
- Help process purchases, payments, purchase orders, Amazon orders, EZBuy requests, and other departmental purchasing needs under appropriate supervision.
- Assist with annual key audits, facilities requests, and other building-related administrative processes.
- Provide backup operational support during staff absences, peak athletic seasons, events, and special projects.
- Travel or assist with department transportation needs as assigned and as qualified.
- BDAC Facility Operations Support
Assist with day-to-day operations and facility needs of the Bunnell-Dmitrich Athletic Center, including but not limited to:
- Assist with scheduling BDAC facility spaces for athletics, campus, community, and event use.
- Support communication with facility users, campus partners, custodial staff, security, maintenance, and other building stakeholders.
- Assist with monitoring building needs, workout areas, equipment, storage areas, and shared-use spaces.
- Identify facility or equipment concerns and assist with submitting maintenance requests.
- Help coordinate building usage, room setup, space utilization, and storage organization.
- Assist with managing access needs, building keys, KeyGuard processes, S2 access, and related security procedures as assigned.
- Help support part-time building closers, student workers, or facility support staff as directed.
- Assist with lost and found, surplus items, asset tracking, and building inventory needs.
- Provide support for commencement, athletic events, campus events, community events, and other major BDAC uses.
- Help maintain a clean, professional, safe, and welcoming facility environment.
Event and Game-Day Support
- Assist with facility setup, tear-down, crowd flow, event logistics, and operational support for athletic contests and special events.
- Help coordinate access, signage, equipment, tables, chairs, technology, hospitality, and other event-related needs.
- Provide customer service to visiting teams, officials, spectators, campus partners, and community members.
- Respond appropriately to basic facility needs, questions, or issues during events.
- Assist with problem-solving during events and communicate issues to the appropriate supervisor.
General Expectations
- Represent USU Eastern Athletics and the BDAC in a professional, service-oriented manner.
- Maintain confidentiality and professionalism when working with student-athlete records, personnel matters, department documents, and internal operations.
- Be willing to perform a variety of tasks, including administrative, operational, facility, event, and physical setup responsibilities.
- Communicate clearly, follow instructions, and provide dependable follow-through.
- Work collaboratively with athletics staff, coaches, campus departments, students, and community users.
- Perform other duties as assigned.
