Position Overview:
The Administrative Assistant will serve as the first point of contact for residents—both in person and by phone—while supporting the day-to-day operations of the association office. This role requires professionalism, strong communication skills, and a friendly, solutions-oriented approach. This position is three part time days per week (5 hours per day).
Key Responsibilities:
- Greet residents and visitors with warmth, patience, and professionalism.
- Respond to phone calls, emails, and inquiries with excellent customer service.
- Assist residents with forms, association information, and general requests.
- Maintain organized files, records, and office documents.
- Support administrative tasks such as scheduling, data entry, and correspondence.
- Coordinate with the Community Association Manager, board members, vendors, and service providers as needed.
- Ensure the front office runs smoothly and reflects the association’s commitment to quality service.
Qualifications:
- Previous administrative or customer service experience preferred.
- Strong interpersonal and communication skills.
- Organized, detail-oriented, and able to multitask effectively.
- Proficient with basic office software (email, Word, Excel, etc.).
- Reliable, professional, and comfortable interacting with residents.
- Ability to handle confidential information responsibly.
