Administrative & Accounting Coordinator

Pay: $28–$30/hour DOE + Benefits

Location: Longmont, CO

Schedule: Part-Time | Tuesday–Thursday | 7:30 a.m. – 4:00 p.m.

How you will spend your time as an Administrative & Accounting Coordinator:

  • Deliver exceptional customer service by serving as the first point of contact for customers, vendors, visitors, and employees.
  • Answer incoming phone calls promptly and professionally.
  • Prepare and send customer invoices by reviewing outbound shipments and shipping documentation.
  • Process customer payments, match deposits to invoices, and assist with accounts receivable collections.
  • Review vendor packing slips and invoices for discrepancies and process vendor payment remittance advice.
  • Post ACH payments and reconcile bank statements.
  • Assist with accounts payable and accounts receivable activities utilizing AI-assisted accounting tools.
  • Process bi-weekly payroll, verify employee timecards using Icon Time Systems, and ensure PTO requests are accurately tracked.
  • Create new hire packets, scan onboarding documentation, and assist with employee benefit enrollments.
  • Manage the accounting inbox and maintain organized electronic and paper records.
  • Support the Controller with administrative and accounting projects.
  • Use Microsoft Excel and other Microsoft Office applications to maintain records and reports.
  • Maintain a clean, organized, and professional office environment.
  • Communicate effectively with customers, vendors, and coworkers while helping improve internal processes.

Skills & experience we would like you to have as an Administrative & Accounting Coordinator:

  • Outstanding customer service and communication skills with a positive, professional attitude.
  • Previous experience in customer service, office administration, accounting support, payroll, HR administration, or a similar multi-functional role.
  • Experience with accounts receivable, accounts payable, payroll, or bookkeeping preferred.
  • Intermediate Microsoft Excel skills and proficiency with Microsoft Office.
  • Experience with payroll or timekeeping systems (Icon Time Systems is a plus).
  • Strong organizational skills with the ability to prioritize multiple responsibilities.
  • High attention to detail and accuracy.
  • Ability to work independently while collaborating effectively with a small team.
