Job description

Administrative Assistant

Bay Ridge Assisted Living Center 


Pay 

  • $17.00-$18.00 per hour 

  • Pay based on experience and credentials 


Shifts Available 

1st Shift Part Time 


Benefits 

  • Hourly wage as stated in the job offer letter.
  • Benefits as stated in the Employee Handbook. 
  • Eligible for 2% increase after 90 days of employment with a satisfactory review, and merit increase annually based on supervisor’s written evaluation of performance. 
  • After one year of employment, employee is eligible to participate in the 401k retirement savings program.

Position Purpose 

The Administrative Assistant serves as a professional and welcoming point of contact for residents, families, visitors, and staff while supporting the daily administrative operations of the community. This role assists the Administrator and leadership team with scheduling, communication, office organization, hiring support, and resident-related administrative tasks.


Qualifications 

  • Must be able to read, write and carry out directions in English
  • Word processing and clerical skills
  • Minimum of 17 years of age
  • Must be able to pass the state mandated criminal background screening and pre-employment drug screening for illegal substances

Essential Functions 

 
General
  • Greet residents, visitors, families, and vendors in a professional and friendly manner
  • Answer and route incoming phone calls
  • Take and distribute messages appropriately
  • Maintain visitor sign-in procedures
  • Provide basic community information and informational materials
  • Maintain office forms, packets, supplies, and resident materials
  • Assist with resident files and move-in documentation
  • Coordinate care conference scheduling
  • Communicate with physician offices regarding required paperwork
  • Assist with ECP data entry and work order submissions
  • Prepare name tags for new employees and name tags for resident door pockets
 
Scheduling and Staffing Support
  • Assist with scheduling for the living center as directed.
  • Support hiring and onboarding processes
  • Assist with new hire paperwork, Hireology, and OnShift Engage
  • Train new staff members as directed

Additional Responsibilities

  • Conduct community tours when leadership staff are unavailable
  • Assist with dining room service
  • Perform other duties as assigned

Physical and Mental Requirements 

  • Ability to lift up to 20 pounds.
  • Ability to stand, walk, bend, and assist residents in all aspects of personal care.
  • Handle emotional and physical demands of caregiving
