Job description

The Position

Are you ready to bring your "get-it-done" superpowers to a team that values professionalism and a good laugh? HELIX WATER DISTRICT is looking for a part-time, temporary (up to 9 months) Administrative Assistant who enjoys tackling a wide variety of tasks - from running errands to keeping supplies stocked - and thrives in a collaborative, service-oriented environment with a strong attention to detail. The successful candidate will support our Administrative Support team based out of our Administration Office in La Mesa.

THE DETAILS:

  • FLEXIBLE SCHEDULE: While Monday - Friday is preferred, it is not required. At minimum, candidates should be available Wednesday through Friday. Hours can be scheduled anytime between 8:30 a.m. and 5:00 p.m., with the expectation that the employee is consistently available for some time in the morning through at least 3:00 p.m.
  • SALARY: $31.74 - $40.52 / hour. Where our successful candidate starts in the pay range depends on their qualifications.
  • BENEFITS: Part-time employees receive 40 hours of paid sick leave once they reach their 90th day of employment.
Overview of Responsibilities

Our temporary, part-time Administrative Assistant helps keep daily operations running seamlessly. In this role, you’ll take care of the small but essential tasks that keep the office functioning—tracking inventory, ordering supplies, setting up meeting spaces and handling quick errands that support the team’s workflow.

You’ll also assist with coordination and communication by scheduling meetings, preparing basic arrangements, answering calls and routing questions to the right staff members. Your attention ensures everything and everyone stays connected. On the practical side, you’ll manage interoffice mail bags, keep printers and equipment stocked and maintain a steady supply of materials so the workspace stays ready for use. Administratively, you’ll help process invoices, claims and other routine paperwork, supporting smooth, timely operations. While you won’t lead major projects, you’ll play an important behind-the-scenes role that keeps the office organized, well-supplied and running without a hitch.

Qualifications

Qualified candidates must have the following: 

  • Training and experience substantially equivalent to graduation from high school or GED equivalent; 

  • Minimum of five years of progressively responsible office administrative experience.

  • Valid California driver's license and ability to maintain insurability under the district's vehicle insurance policy.
