Job description

Coastar Therapeutics is seeking a detail-oriented and organized Accounts Payable / Accounting Assistant to support our accounting, purchasing, and day-to-day financial operations. This position will be responsible for accounts payable, purchase orders, vendor communications, online and telephone ordering, reconciliations, bookkeeping, and maintaining accurate financial records.

The ideal candidate has strong working knowledge of QuickBooks Online and Microsoft Excel, excellent attention to detail, and the ability to manage the full purchasing and payment cycle from placing an order through receipt, documentation, and payment.


Key Responsibilities


  • Maintain accurate and up-to-date books and accounting records for all financial transactions.
  • Process accounts payable, vendor invoices, purchase orders, and payments.
  • Place daily orders online and over the phone and manage the full order cycle.
  • Obtain and communicate shipping and delivery dates.
  • Track orders and confirm receipt of items.
  • Collect and maintain packing slips and documentation confirming received items.
  • Process payments in a timely manner by check or credit card.
  • Prepare and maintain Purchase Orders.
  • Maintain and organize the PO Logbook, including pending, outstanding, and received orders.
  • Find and apply available discounts and favorable pricing opportunities when placing orders.
  • Keep the PO and vendor invoice filing system organized and up to date.
  • Communicate directly with vendors regarding orders, cancellations, delivery dates, invoices, payments, and other inquiries.
  • Enter and maintain accounting transactions in QuickBooks Online.
  • Reconcile and balance accounts on a monthly basis.
  • Perform monthly credit card reconciliations and investigate discrepancies.
  • Review invoices and transactions for accuracy, proper documentation, and appropriate coding.
  • Assist with expense tracking, account reconciliations, and month-end accounting activities.
  • Maintain organized financial and purchasing records.
  • Assist with general accounting and administrative duties as needed.

Qualifications


  • Strong working knowledge of QuickBooks Online is required.
  • Expert proficiency with Microsoft Excel and Microsoft Office is required
  • Previous experience in accounts payable, accounting, bookkeeping, purchasing, or a similar role.
  • Strong understanding of basic accounting principles.
  • Experience with invoice processing, purchase orders, vendor accounts, and reconciliations.
  • Excellent attention to detail and accuracy.
  • Strong organizational and record-keeping skills.
  • Excellent communication and follow-up skills.
  • Ability to manage multiple orders, invoices, and deadlines simultaneously.
  • Ability to work independently and take initiative.
  • Professional and courteous communication skills when working with vendors and internal team members.

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business, or a related field.
  • Experience with monthly bank or credit card reconciliations.
  • Experience managing purchase orders and vendor accounts.
  • Experience in a biotechnology, pharmaceutical, healthcare, laboratory, or scientific environment is a plus.
