Administrative Assistant - Durham Office
Location: Durham, NC
Schedule: Full-time (40 hours/week) OR part-time (30 hours per week, except from 1/1-4/15 and 9/1-10/15, when 40 hours per week is required)

Seasonal Overtime: Required during peak tax seasons (3/1-4/15 and 9/1-10/15)
TJT is seeking an Administrative Assistant to play a central role in our Durham office. We are open to either a full-time or part-time team member;if part-time, the schedule must align with the current role expectations: 30 hours per week, except from 1/1-4/15 and 9/1-10/15, when 40 hours per week is required.
This person will join our Durham office team and help support a professional, client-focused firm where exceptional service is always the priority. Our Durham office is one of four TJT locations, and this role will collaborate virtually with team members in our other offices using technology such as Microsoft Teams.
Success in this role requires someone who thrives on multitasking and enjoys interacting with clients, visitors, and TJT team members throughout the day. This is a fast-paced position with steady activity and regular movement throughout the office, including periods of sitting, standing, and walking.
This individual will be a key member of the firm's administrative team, taking ownership of assigned responsibilities and contributing wherever needed. Duties may include organizing and scanning tax return documents, paging and delivering tax returns, logging out projects, electronically filing tax returns, setting up clients, preparing binder rollforwards, completing financial statement footings and PDF creation, and coordinating with the broader Admin team on tasks and special projects.
This position also supports the day-to-day operations of the Durham office, including ordering and maintaining supplies, arranging lunches, greeting clients and visitors, setting up workspaces for new employees, assisting Durham partners with assigned tasks, scheduling meetings, handling company inquiries, typing labels, shipping packages via FedEx, making trips to the U.S. Post Office, running office errands, and completing miscellaneous data entry. In addition, this person will help ensure the lobby remains clean, organized, and consistently professional in appearance.
Essential Functions:
  • Welcome clients, job candidates, and other visitors with professionalism and warmth
  • Manage office supply inventory and reorder materials as needed
  • Provide additional administrative support and take on other duties as assigned

Required Skills & Qualifications:
  • Professional presence and polished demeanor
  • Prior public accounting experience is preferred and would be helpful in succeeding in this role
  • Familiarity with accounting, vendor relationships, general technology use, basic data entry, and fundamental math skills, including addition, subtraction, multiplication, and division
  • Proficiency in Microsoft Word, Excel, and Outlook, including email and calendar functions
  • Ability to quickly learn and use industry-specific software as needed
  • Working knowledge of standard office equipment
  • Typing speed of 30 wpm
  • Alpha/numeric filing skills
  • Positive, outgoing attitude and a willingness to support fellow administrative team members
  • Strong time management skills with the ability to multitask, prioritize effectively, and maintain close attention to detail
  • Ability to work independently with minimal supervision
