Part Coordinator information

What is a part coordinator?

Part Coordinators are professionals responsible for managing and organizing parts and inventory within a company, often in industries like manufacturing, automotive, or maintenance. They track parts, place orders, receive shipments, and ensure that the right components are available for production or repair work. Their role helps prevent delays by maintaining accurate records and coordinating with suppliers and internal teams. Part Coordinators also often handle documentation, returns, and inventory audits to keep operations running smoothly.

How does a part coordinator typically interact with other departments to ensure timely delivery of parts?

A Part Coordinator works closely with procurement, warehouse, and maintenance teams to monitor inventory levels, track orders, and address any supply chain issues. They often serve as the central point of communication, coordinating schedules and prioritizing requests to minimize downtime and delays. Effective collaboration and proactive communication are essential, as the role often requires resolving discrepancies and expediting urgent orders to support smooth operations.

What are the key skills and qualifications needed to thrive as a part coordinator, and why are they important?

To thrive as a Part Coordinator, you need strong organizational skills, attention to detail, and a background in inventory management or logistics, often supported by a relevant associate degree or equivalent experience. Familiarity with inventory management software, ERP systems, and basic Microsoft Office tools is typically required. Excellent communication, problem-solving abilities, and the capacity to manage multiple priorities help individuals excel in this role. These skills ensure accurate tracking, timely delivery of parts, and efficient coordination between departments, all of which are critical for smooth operations.

What is the difference between Part Coordinator vs Parts Specialist?

AspectPart CoordinatorParts Specialist

Work EnvironmentAuto repair shops, dealerships, parts warehousesAuto parts stores, dealerships, retail environments
Primary ResponsibilitiesManaging parts inventory, coordinating parts orders, ensuring parts availabilityAssisting customers, selling parts, providing product information

Both roles involve working with automotive parts, but the Part Coordinator focuses on inventory management and coordination within repair facilities, while the Parts Specialist primarily interacts with customers and handles sales in retail settings. Understanding these differences helps in choosing the right career path or job search focus.

Is it easy to become a part coordinator?

Becoming a part coordinator typically requires strong organizational skills, attention to detail, and experience in logistics or inventory management. Many positions prefer candidates with a high school diploma or equivalent, and some may require familiarity with scheduling software or certifications related to supply chain management. The difficulty varies depending on the industry and specific employer requirements.

At OrthoVirginia, you're part of a team dedicated to delivering expert orthopedic and therapy care across the state. As Virginia's largest provider of musculoskeletal care, we offer full-time and part-time opportunities in a collaborative, team-oriented environment.

With more than 159 physicians in over 35 locations—including Lynchburg, Northern Virginia, Richmond, Southwest Virginia, and Hampton Roads—OrthoVirginia is a leader in orthopedic surgery, non-surgical care, and physical, hand, and occupational therapy. Our nationally recognized specialists treat a full range of musculoskeletal injuries and conditions, helping patients of all ages move, heal, and thrive.

Join us and become part of a trusted network committed to excellence in orthopedic care.

Every patient journey begins with you.

As a Registration Coordinator, you'll serve as the first point of contact for patients while helping ensure each visit is welcoming, organized, and efficient. You'll partner with providers and clinical teams to coordinate appointments, verify insurance, support patient communications, and keep daily clinic operations running smoothly—all while delivering the outstanding service that defines the OrthoVirginia experience.

What You'll Do

As a Registration Coordinator, you'll help create a seamless patient experience by:

  • Welcome patients and visitors with professionalism, compassion, and exceptional customer service.
  • Schedule appointments, answer incoming calls, and manage patient communications via phone, email, and fax.
  • Register patients and maintain accurate demographic, insurance, and medical information.
  • Verify insurance eligibility, obtain prior authorizations, and collect copays and other patient payments.
  • Coordinate with providers, clinical staff, financial counselors, and billing teams to ensure a smooth patient experience.
  • Support daily clinic operations through administrative tasks, record management, and office coordination.
  • Maintain accurate patient records and follow established scheduling, registration, and documentation procedures.
  • Resolve patient questions or concerns and escalate issues appropriately to ensure timely service.
  • Assist with maintaining office supplies, equipment, and an organized front office environment.

What We're Looking For

Successful candidates will typically have:

  • High school diploma or equivalent.
  • Experience in customer service, patient registration, scheduling, healthcare administration, or a medical office setting.
  • Knowledge of insurance verification, prior authorizations, patient registration, or healthcare billing processes.
  • Experience using electronic medical record (EMR) systems and Microsoft Office applications.
  • Strong communication, organizational, and interpersonal skills.
  • Exceptional customer service skills with the ability to build positive relationships with patients and teammates.
  • Ability to multitask, prioritize responsibilities, and adapt in a fast-paced healthcare environment.
  • Strong attention to detail with excellent problem-solving skills and the ability to handle confidential information.

Compensation Range for this position:

$19.46 - $29.19

Compensation for this role will be based on several factors, including the candidate's qualifications, relevant experience, education, skills, certifications, geography/market, and internal equity considerations.
