Job description

The Legal Assistant is an entry-level role within a foreclosure law firm, responsible for accurately processing, entering, and maintaining payoff and reinstatement figures for foreclosure and bankruptcy matters. This position plays a critical role in ensuring compliance with client guidelines, court requirements, and statutory deadlines by supporting attorneys, paralegals, and operations teams with precise financial data related to loan resolution.

The ideal candidate is detail-oriented, organized, and comfortable working in a high-volume, deadline-driven legal environment.

Essential Duties & Responsibilities

  • Enter and update payoff and reinstatement figures in the firm’s case management and servicing systems.
  • Review lender, servicer, and client-provided payoff and reinstatement figures for accuracy and recoverability.
  • Verify and apply fees, costs, interest, escrow advances, corporate advances, and other foreclosure or bankruptcy related charges.
  • Coordinate with foreclosure attorneys, paralegals, accounting, and billing teams to resolve discrepancies or missing information
  • Ensure all payoff and reinstatement activity complies with client directives, investor guidelines, and applicable state foreclosure laws
  • Maintain detailed case notes and documentation to support audits, client reviews, and legal filings
  • Respond to internal requests and external inquiries regarding payoff and reinstatement amounts and status
  • Identify issues requiring escalation, including disputes, time-sensitive errors, or potential compliance risks
  • Adhere to firm SOPs, data security requirements, and confidentiality standards
  • Answer incoming customer service related calls

Required Qualifications

  • High School Diploma required.
  • Associates degree preferred.
  • Strong attention to detail and data accuracy.
  • Ability to work in a fast-paced, deadline-driven legal environment.
  • Basic proficiency with Microsoft Office (Excel, Outlook, Word)
  • Strong organizational and time-management skills
  • Professional written and verbal communication skills
  • Ability to follow detailed legal and client-specific instructions
