Position Summary
We are seeking an experienced Paralegal / Legal Assistant to join our Newark, NJ office. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage case files and support attorneys in a fast-paced legal environment.
Family Law experience is highly preferred.
The successful candidate will assist with case preparation, client communication, court filings, document management, and administrative support to ensure cases are handled efficiently from intake through completion.
Responsibilities
  • Organize and prepare client case files, including motions, evidence, reports, and supporting documentation.
  • Maintain electronic case files through Dropbox and organize physical client files.
  • Scan, upload, and maintain court documents and case records.
  • Close completed cases by organizing files and storing required documentation.
  • Request and subpoena court records, police reports, and other necessary documents.
  • Follow up with clients regarding intake forms, missing documents, and case-related information.
  • Ensure all documents are properly scanned, uploaded to Dropbox, and shared with courts, clients, or third parties when needed.
  • Draft legal documents, including:
    • Motions
    • Consent Orders
    • Adjournment Requests
    • Notices of Appearance
    • Amendments
  • Manage case deadlines and calendar events through Clio or similar case management platforms.
  • Meet with clients in person to review case information and collect documents.
  • Scan client documents and return original paperwork when appropriate.
  • Answer incoming calls when the receptionist is unavailable or when calls relate to assigned cases.
  • Communicate with courts regarding orders, court dates, case status, and pending matters.
  • Confirm scheduled court appearances and follow up on outstanding court-related items.
Qualifications
  • Previous experience as a Paralegal, Legal Assistant, or similar legal support role.
  • Family Law experience strongly preferred.
  • Fluent in English (required).
  • Bilingual in Spanish is preferred.
  • Strong knowledge of legal document preparation and file management.
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple cases and deadlines.
  • Experience with Clio, Dropbox, or legal case management systems is a plus.
  • Professional, reliable, and client-focused.
