Job Overview

The Seasonal Partnership Marketing Assistant plans and executes Macy’s annual Parade Volunteer Dinner and supports the planning of the Parade VIP Reception. This role assists the partnership marketing teams with tasks related to asset organization and mailings as well as helps to lead several gifting initiatives. The position interfaces with creative, finance, operations, production management, and external vendor partners.

Please note: this is a full time temporary position, starting ASAP and expected to last though mid-December.

What You Will Do

Event Planning

  • Plan and execute Parade Volunteer Sit-Down Dinner & Award Ceremony for 250-300 guests.
  • Plan and execute Parade VIP Reception for 300+ guests, including sponsors, celebrities and Macy’s executives.
  • Coordinate with event venues to arrange food, lighting, sound, and other event details.
  • Partner with venue staff and oversee on-site vendor activations, including negotiating contracts for services such as DJs, performing talent, photo booths, floral arrangements, décor, signage, and thank you gifts.
  • Collaborate with the creative team to design event invitations and branding moments throughout.
  • Manage the guest lists, including all attendee correspondence.
  • Manage the event run-of-show, presentations, and video content.
  • Serve as the main point of contact on the event day to handle all event details.
  • Assist with vendor research and setup.
  • Coordinate messenger services between the office, studio and event locations.

Gifting

  • Research, source and secure gift options for various seasonal touchpoints
  • Work with the creative team on design, personalization and final execution
  • Help manage overall budget

Other Responsibilities

  • Provide Parade Day support to designated team members or areas, depending on need
  • Update and organize the event photo cataloguing system.
  • Coordinate credentials and tickets for mailings and maintain tracking records.
  • Handle event week location deliveries.
  • Order necessary supplies 
  • Create event recaps to highlight successes and opportunities.

Skills You Will Need

Event Planning: Ability to plan and execute large-scale events, coordinate with venues, manage vendor activations, and handle event logistics.

Vendor Management: Skill in negotiating contracts and overseeing on-site vendor activities, such as DJs, photo booths, and floral arrangements.

Communication: Strong ability to communicate clearly and keep others informed, with experience in managing guest lists and handling event-day details.

Collaboration: Excellent leadership and interpersonal skills to work effectively with creative teams, finance, operations, and external partners.

Creativity and Strategy: Capability to think creatively and strategically while managing event presentations and video content.

Technical Proficiency: Proficiency in MAC OS, Adobe Creative Suite, and MS Office programs.

Organizational Skills: Skill in updating and organizing event systems, coordinating credentials and tickets, and handling deliveries.
