POSITION SUMMARY

The Marketing Project Manager is responsible for leading the planning, coordination, and execution of marketing initiatives across Still Austin Whiskey Co. This role oversees project intake, timelines, cross-functional collaboration, vendor management, creative workflows, and production coordination to ensure marketing, packaging, merchandising, and commercial initiatives are delivered on time, on budget, and with exceptional quality.

This position serves as the central hub connecting Marketing, Sales, Production, Hospitality, Operations, and external partners, ensuring projects move seamlessly from concept through execution. The ideal candidate is highly organized, proactive, solutions-oriented, and thrives in a fast-paced Consumer Packaged Goods (CPG) environment where balancing multiple priorities and building strong cross-functional relationships are essential to success.

SUCCESS PROFILE

To be successful in this role, the Project Manager will:

  • Keep complex marketing projects moving by proactively managing timelines, priorities, resources, and cross-functional communication from concept through execution.
  • Serve as the operational hub connecting Marketing, Sales, Production, Hospitality, Operations, and external partners to ensure projects are aligned, decisions are made efficiently, and deliverables stay on track.
  • Build scalable marketing processes that improve workflow visibility, increase team efficiency, and support Still Austin's continued growth.
  • Coordinate vendors and creative partners to consistently deliver high-quality packaging, merchandising, creative assets, and marketing materials on time and within budget.
  • Anticipate and resolve roadblocks by identifying risks early, communicating proactively, and keeping projects moving with minimal disruption.
  • Bring structure and organization to creative operations by maintaining project management systems, documentation, asset libraries, and marketing databases that enable teams to execute effectively.
  • Take ownership from kickoff to completion by ensuring every project is thoughtfully planned, well-executed, and delivered with exceptional attention to detail.
  • Champion collaboration and accountability by building trusted relationships across departments and fostering a culture of transparency, follow-through, and continuous improvement.

ESSENTIAL DUTIES & JOB RESPONSIBILITIES

Marketing Project Management

  • Own the intake, prioritization, scheduling, and execution of marketing and creative projects from concept through completion.
  • Develop project timelines, coordinate kickoff meetings, and ensure projects remain on track, within scope, and aligned with business priorities.
  • Serve as the primary point of coordination for cross-functional marketing initiatives across Marketing, Sales, Production, Operations, Hospitality, and Compliance.

Creative Operations

  • Manage workflow and project prioritization for the graphic design team to maximize efficiency and resource utilization.
  • Coordinate creative briefs, project requirements, stakeholder communication, and status updates throughout the project lifecycle.
  • Facilitate artwork proofing, internal approvals, and regulatory reviews to ensure projects move efficiently through production.

Vendor & Commercialization Management

  • Manage relationships with printers, packaging suppliers, promotional product vendors, artists, photographers, and other external creative partners.
  • Coordinate vendor estimates, production schedules, proof approvals, and final delivery to ensure quality and on-time execution.
  • Support packaging development, merchandising initiatives, hospitality projects, and product launches from planning through implementation.

Marketing Operations & Process Improvement

  • Maintain project management systems, creative workflows, product databases, asset libraries, vendor records, and project documentation.
  • Prepare meeting agendas, capture action items, communicate project updates, and proactively identify project risks and roadblocks.
  • Continuously improve marketing processes, workflows, and project management systems to support organizational growth and cross-functional collaboration.
  • Perform other duties and special projects as assigned.

QUALIFICATIONS

Required Qualifications

  • Bachelor's degree in Marketing, Business, Communications, Project Management, or a related field, or an equivalent combination of education and experience.
  • 5+ years of experience managing marketing, creative, packaging, or commercialization projects within a Consumer Packaged Goods (CPG) organization.
  • Demonstrated success managing multiple complex projects simultaneously while balancing competing priorities and deadlines.
  • Experience managing cross-functional product commercialization, packaging, or marketing initiatives from concept through production and launch.
  • Experience coordinating cross-functional teams and collaborating with Marketing, Sales, Operations, Production, and external vendors.
  • Strong knowledge of project management principles, workflow management, and creative production processes.
  • Experience managing print production, promotional materials, packaging projects, or creative vendors from concept through final delivery.
  • Exceptional organizational skills with meticulous attention to detail and follow-through.
  • Excellent written, verbal, and interpersonal communication skills with the ability to influence and build relationships across all levels of the organization.
  • Proficiency with project management software (Asana, Monday.com, Notion, Wrike, Jira, or similar) and Google Workspace or Microsoft Office.
  • Ability to effectively manage ambiguity and adapt quickly in a fast-paced, entrepreneurial environment.

Preferred Qualifications

  • Experience within the distilled spirits, wine, beer, or broader beverage alcohol industry.
  • Experience supporting packaging development, commercialization, or product launch processes.
  • Familiarity with regulatory review and artwork approval processes within CPG or beverage alcohol.
  • Experience managing creative teams, agencies, photographers, printers, and promotional vendors.
  • Project Management Professional (PMP), Certified Associate in Project Management (CAPM), or similar certification is a plus.
  • Passion for premium consumer brands, hospitality, and collaborative team environments.

PHYSICAL REQUIREMENTS

This role requires the ability to:

  • Sit, stand, and work at a computer for extended periods throughout the workday.
  • Occasionally lift and transport marketing materials, product samples, packaging mockups, and promotional items weighing up to 25 pounds.
  • Move throughout office, production, warehouse, and hospitality environments to support project coordination and cross-functional collaboration.
  • Travel occasionally to vendor locations, production facilities, trade events, or company meetings as business needs require.
  • Use standard office equipment, including computers, phones, printers, and presentation technology.
  • Occasionally work evenings or weekends to support critical product launches, events, or business initiatives.
