Job description

Job Summary:

The Design Project Manager role is to oversee and coordinate all phases of a multifamily/commercial project, including Design, Purchasing, Production, and Shipping. Works under general direction; exercises discretion and judgment on work priority on a regular basis; and some degree of creativity is expected.

Principal Duties and Responsibilities

Pre-Design

  • Prep files for design

  • Follow up with sales to ensure design has all pertinent documents.

  • Latest plans, Mech. plans, CAD files

  • Setup "Working Set" document.

  • Import most recent plans into base "Working Set" document.

  • Bookmark pages of the plans.

  • Review terms of project.

  • Check quote date to see if it will need to be updated.

  • Setup and facilitate pre-design meeting between sales, design & estimator.

  • Review quote to ensure everyone is clear on what products were sold.

  • Discuss framing schedule and project duration with sales.

  • Take notes during this meeting for reference later and email the notes to sales & design. Save a copy of these notes in base quote folder also.

  • Assist in setting up DATEHOLD orders.

  • Using "Multi-Family Pricing Info" sheet, create quote #'s. Assign

  • each quote board footage & price.

  • Assign each date hold quote a date, using info gathered during pre-design meeting.

  • Review pricing info sheet to determine if special order material will be required. If special order material is required in project, indicate this on the date hold quotes.

  • Put together S.O.V. for project if required.

Design

  • Coordinate wall/floor/roof submittals with customers

  • Responsible for being the main point of contact for the customer, designers, production, shipping, and sales.

  • Track and document all correspondence (SK's, RFI's, etc.) and make sure it is implemented.

  • Monitor designer's progress.

  • Review submittals prior to submitting. All mark-ups/approvals go through the Project Manager.

  • Coordinate each project from initial design thru production and shipping/deliveries.

  • Field calls from the site, and work with the design team to solve issues including site visits.

  • Assist design with processing RFI's.

  • Take info from design and create official RFI documents.

  • Follow up with sales on getting info

  • Once design has imported trusses/beams/hangers in date hold/production orders, coordinator will take these over.

  • Assign money to these production orders.

  • Create cutting sheets for all production orders.

  • Track money on all orders for each project.

  • Fill out excel tracking sheet with money assigned to production orders.

  • Keep track of all margins on production orders.

  • When project is nearing completion run MBA report to reconcile invoiced orders against PO amount. Verify project is on track to invoice out correctly.

  • If a credit has been identified on project, coordinator will track down why there is a credit.

Qualifications

  • Minimum High School Diploma

  • Minimum 2 years in related responsibilities

  • Working knowledge and experience using MiTek is a plus

  • Moderate Computer Skills: Microsoft Outlook, Email, Proficiency in Excel,

  • Access

  • Strong math (intermediate level) and problem-solving skills

Skills and Abilities

  • Demonstrated proficiency to manage multiple tasks and activities at once, to organize and set priorities, and to meet deadlines.

  • Working knowledge of AUTO CAD software

  • Proficient use of the English language in reading, writing, and speaking

  • Ability to successfully interact with all organizational levels and the public

  • Ability to communicate effectively with others, including customers, peers, and management

  • Ability to manage several activities/projects at once, to organize and prioritize work, to meet deadlines, to prepare plans, goals and budgets

  • Ability to sit at a desk for prolonged periods of time, be mobile in the work environment, and work hours as needed

  • Ability work well under pressure and in a fast-paced environment

  • Must be very detail oriented and have a Team Player Mentality

  • Ability to pass a Drug Test
