Job description

TXG is an award-winning experiential marketing agency that believes meaningful consumer experiences are the key to helping brands flourish. TXG partners with the world's most beloved brands, expanding across all categories including Spotify, Virgin Atlantic, Pabst Brewing, Wimbledon and L'Oreal.

Role Overview: The Production Coordinator is a supporting role on the Production team, assisting producers with daily needs to plan, organize, and execute projects. Reporting to the Director of Production and receiving mentorship from senior team members, the Production Coordinator will be assigned to project teams as needs require. This is a hybrid role, requiring at least 3 days per week in our Dumbo Brooklyn, NY office.

Capabilities & Qualifications:

  • 2-4+ years experience working in events, production, or an event marketing agency.
  • Understanding of overall project lifecycle, production timelines, and production processes
  • Excellent written, oral, and interpersonal communication skills
  • Proactive, resourceful, solution-oriented, and able to remain calm under pressure
  • Strong organizational skills and ability to work efficiently under tight deadlines
  • Strong desire to increase production and event management knowledge and skills
  • Ability to work in a fast-paced environment with flexibility to adapt to changing priorities and information
  • Sharp attention to detail
  • Eager to learn and receptive to constructive criticism
  • Proficiency in Google Suite (Docs, Sheets, Slides) and basic to intermediate knowledge of spreadsheets and Excel formulas
  • Ability to travel for projects as required
  • Ability to work from our Brooklyn office at least 3x/week
  • Prior experience or exposure to event production is a plus, ideally with at least an internship at an agency

Key Responsibilities:

  • Assist producers with day-to-day production support for specific projects and tasks
  • Provide overall administrative support, including scheduling meetings/calls, organizing documents and files, and note-taking
  • Assist with production-centric tasks such as research, outreach, and vendor management.
  • Support the creation and maintenance of key project documentation (agendas, recaps, status reports, schedules, timelines, manifests, contact sheets)
  • Conduct vendor research, outreach, and estimate tracking
  • Support project budgets, including tracking estimates and actuals
  • Draft client or vendor emails for manager approval
  • Draft agendas, call recaps, meeting notes, and production documents as needed
  • Support post-project closeouts, including budget/P&L reconciliation and wrap decks
  • Support smaller projects, trade shows, or pieces of projects in partnership with manager or lead producer
  • Manage production deliverables, timelines, and agendas, ensuring tasks support the team and move the project forward
  • Attend key production meetings including kick-offs, mid-point, and final production meetings for assigned projects
  • Participate in internal status calls and production meetings, providing updates for assigned areas of responsibility
  • Conduct vendor research, outreach, and estimate tracking as assigned
  • Assist with the assembly of production workbooks for team and clients and final TXG project binders
  • Act as liaison between vendors and agency, and as a secondary point of contact for clients

Salary: $55,000 - $70,000*
