Job Title

Temporary Society Peer Review and Education Program Administrator – 260212

Job Summary

Provide assistance and support to the IEEE Signal Processing Society (SPS) in the receipt, database management, review, and timely publication of journal manuscripts, and provide first‑level support for users of IEEE electronic publishing applications and tools. This temporary Society Administrator works under general supervision to facilitate the peer‑review process for a few IEEE SPS publications. The position reports to the Senior Manager, Publications & Education Strategy and Services, and operates as a contributor with no financial authority and no direct reports.

Responsibilities
  • Take on administrator responsibilities for SPS ScholarOne Manuscripts (S1M) sites, coordinating database and manuscript processing and handling.
  • Follow up with personalized emails and facilitate the timely review of articles, tracking progress of reviews and working with staff and EIC to ensure timely completion by reviewers, associate editors, and authors.
  • Ensure associate editors have sufficient information to select peer reviewers for manuscripts.
  • Use the system’s functionality to prepare and maintain appropriate correspondence and notifications to system users (EICs, authors, associate editors, and reviewers).
  • Update associate‑editor and reviewer files according to instructions from the EIC.
  • Answer questions in a timely manner and track/report on projects within the online peer‑review system.
  • Create custom reports using tools such as Microsoft Excel, Smartsheet, and S1M reporting tools to monitor and expedite manuscript progress and develop metrics.
  • Provide administrator support for the S1M online manuscript submission system.
  • Support other projects under the Society’s purview as needed.
Qualifications
  • Bachelor’s degree or equivalent experience.
  • 2–4 years of directly related work experience in publishing, professional association, and/or education industry.
  • Experience working with a volunteer community.
Skills and Requirements
  • Excellent interpersonal, written and verbal communication and customer‑service skills.
  • Ability to handle multiple tasks simultaneously, track and report status of each, meet deadlines, and work independently.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Gmail, and database systems.
  • Experience in video editing and knowledge of related software.
  • Positive, customer‑focused attitude when dealing with volunteers and members.
  • Strong organizational, strategic‑thinking, creative and problem‑solving skills.
  • Ability to work under pressure in a fast‑paced environment and manage time effectively.
  • Cooperative ability to work with other staff and volunteers to address issues.
  • High‑quality standards, including accuracy in communications and documentation.
  • Professional demeanor and ability to handle confidential material.
  • Demonstrates cultural awareness of different customs and social norms.
