 Wake Veterinary Medical Center is a 24-hour hybrid hospital offering primary care, emergency, surgery, internal medicine, oncology, advanced imaging (ultrasound and 64-slice CT), and cardiology services through our partnership with CVCA. We’ve doubled our facility space and expanded our diagnostic capabilities to better support our patients and referring veterinarians.

We are seeking an experienced and detail-oriented Referral Coordinator to join our team. This role plays a vital part in ensuring seamless communication and coordination between our Emergency Department, clients, and referring veterinarians.


Key Responsibilities 


Key responsibilities include serving as the primary liaison between referring veterinarians who wish to transfer care to our hospital for emergency and ICU services; maintaining accurate documentation and follow-up for all referrals and communications, and supporting hospital operations with professionalism and efficiency in a fast-paced environment.


Emergency Triage Support 

  • Assist with intake and prioritization of emergency patients based on presenting condition 
  • Obtain patient histories, vital signs, and initial assessments for veterinary staff 
  • Prepare treatment and exam areas for incoming emergencies 
  • Monitor triaged and incoming emergency patients and report changes promptly 
  • Support veterinarians and technicians during diagnostics, treatments, and emergency procedures 
  • Maintain accurate medical records and documentation in the hospital management system 

Referral Coordination 

  • Coordinate referrals between primary care veterinarians, specialists, and emergency clinicians 
  • Communicate with referring veterinary hospitals regarding patient updates, records, diagnostics, and treatment plans 
  • Ensure medical records, imaging, and laboratory results are complete and transferred appropriately 
  • Serve as a liaison between clients, referring veterinarians, and specialty departments 

Client Communication 

  • Provide compassionate, professional communication to clients during stressful situations 
  • Explain intake procedures, visitation policies, estimates, and discharge instructions as directed by medical staff 
  • Answer incoming calls regarding emergency admissions and referral coordination 
  • Assist clients with completing forms, records requests, and payment processes 

Hospital Operations 

  • Maintain cleanliness and organization of treatment, triage, and reception areas 
  • Support workflow efficiency between emergency and referral hospitals 
  • Follow all hospital safety, sanitation, and patient care protocols 
Requirements:


Qualifications 

  • Minimum of 5 years of veterinary emergency experience required.
  •  Demonstrate knowledge of veterinary medical procedures and terminology to effectively communicate with referring veterinarians and veterinary professionals.  
  • Strong communication, organizational, verbal, and time management skills. 
  • Demonstrated ability to maintain professionalism and positivity under pressure. 
  • EzyVet experience is a plus. 
  • Attention to detail and commitment to excellent customer service is always expected. 
  • Ability to multitask and remain calm in high-stress situations 
  • Strong organizational and computer skills 
  • Ability to work evenings, weekends, holidays, and overnight shifts as needed 
  • Familiarity with emergency triage protocols
