Job description

Job Title: Order Management Specialist

Job Description:

Trystar is seeking a detail-oriented and customer-focused Order Maintenance Specialist to manage the complete order lifecycle, from purchase order (PO) receipt through invoicing. In this role, you'll be a critical point of contact for our customers, ensuring a seamless experience.

Reporting to the Order Maintenance Supervisor, you'll have the opportunity to support a diverse range of products across multiple manufacturing sites. Success in this position hinges on daily interaction with our sales team, customers, and the quotation team to deliver an exceptional level of customer service.


Key Responsibilities:

  • Manage the entire order processing workflow, from PO receipt to invoicing.
  • Review all customer facing documents for accuracy and ease of use. 
  • Proactively communicate order delays and manage order escalations.
  • Serve as a primary customer touch point for various inquiries and needs. This may require meeting with customers in person or virtually on camera. 
  • Collaborate closely with sales, customers, and the quotation team to ensure accuracy and customer satisfaction.
  • Drive continuous improvement by proactively identifying operational inefficiencies and proposing innovative solutions to leadership. 
  • Act as a change agent by spotting areas for growth and bringing forward actionable ideas to streamline workflows

In this role you will get to:

Job Requirements:


Minimum Qualifications

  • Five years of customer service experience in a business to business environment 
  • Ability to read and understand purchase order requirements
  • Strong communication skills with the ability to flex between customers via e-mail, chat and phone
  • Strong ability to effectively learn and readily apply new knowledge
  • Ability to use digital tools to capture and respond to customer requests
  • Proficient in Microsoft Office 365 (Outlook, Excel, Word, Power Point)
  • Experience in an ERP and CRM
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment
  • High comfort level establishing and growing relationships with customers and internal partners


Preferred Qualifications

  • Two-Year Degree or Bachelor’s Degree 
  • Two years of customer service experience in a manufacturing environment
  • Experience in specific ERP Epicor and CRM Salesforce
  • Continuous improvement mindset
