Job description

The Operations & Administrative Manager serves as a critical member of our support team, helping ensure the efficient operation of our administrative, logistics, fleet, HR, and office functions.
The ideal candidate is highly organized, detail-oriented, comfortable working independently, and capable of balancing multiple priorities in a fast-paced environment. This role is perfect for someone who enjoys problem-solving, improving processes, and helping an organization run smoothly.
This is an in-office position based at our Durham, NC headquarters. Remote work is not available. Candidates outside the area must be willing to relocate at their own expense.
Key Responsibilities:
Administrative & Office Operations
  • Provide administrative support to company leadership and operational teams
  • Manage company correspondence, including mail, email, phone messages, and general inquiries
  • Maintain office, warehouse, and employee supply inventories
  • Organize and maintain physical and electronic records
  • Assist with employee onboarding and offboarding activities
  • Handle sensitive and confidential information with professionalism and discretion
  • Serve as a professional point of contact for employees, vendors, customers, and business partners
Operations, Fleet & Logistics Support
  • Coordinate and track vehicle maintenance schedules, fleet records, expenses, invoices, and documentation
  • Assist with fleet logistics, towing requests, service appointments, and operational support needs
  • Monitor communications related to collection sites, field operations, maintenance needs, and priority issues
  • Maintain accurate records within company databases, spreadsheets, and operational systems
  • Generate reports and assist with invoicing, data entry, and operational tracking
  • Support process improvements that increase efficiency and organization
Human Resources Support
  • Assist with employee documentation and personnel record maintenance
  • Support hiring, onboarding, equipment assignment, and payroll-related administrative functions
  • Help ensure accurate recordkeeping and compliance with company procedures
Qualifications:
Required
  • Minimum of 1 year of administrative, office, operations, logistics, or related experience
  • Strong proficiency in Microsoft Outlook, Word, and Excel
  • Outstanding organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple priorities and meet deadlines with minimal supervision
  • High level of professionalism, confidentiality, and attention to detail
  • Strong problem-solving skills and a proactive approach to work
Preferred
  • 3+ years of administrative, operations, or office management experience
  • Bachelor's degree or equivalent combination of education and experience
  • Experience supporting logistics, transportation, warehouse, or fleet operations
  • Experience with invoicing, expense tracking, permits, lease administration, or vehicle maintenance records
  • Ability to learn new systems and technology quickly
  • Experience working in a fast-paced environment with changing priorities
