Job description

The Operations Support Specialist provides operational and administrative support to the Geospatial Customer Success and Operations team. This role is responsible for processing warranty and annual maintenance orders submitted by the Customer Success Team, Sales Team, and customers, while also supporting purchasing activities and the creation of end-customer warranty certificates. The position plays a key role in ensuring accurate, timely, and efficient service delivery.
Summary of Job Duties

  • Process warranty and annual maintenance orders submitted by the Customer Success Team, Sales Team, and customers.
  • Purchase inventory required to fulfill warranty and annual maintenance orders.
  • Register customer information to serial numbers to ensure accurate warranty coverage.
  • Prepare warranty documentation for the Customer Success Team to present to customers.
  • Partner with the Team Lead to maintain virtual warranty inventory and ensure timely, accurate warranty assignments.
  • Participate in monthly virtual inventory reviews with the Team Lead and Shared Services Manager and reconcile counts with ERP records.
  • Prepare weekly, monthly, and quarterly reports as directed by the Team Lead and Shared Services Manager.
  • Perform other duties as assigned by the Team Lead.
Requirements
  • Demonstrated ability to interact with customers and employees in a positive, proactive manner.
  • Strong attention to detail and commitment to accuracy.
  • Technical writing skills preferred.
  • Ability to travel overnight as needed during the training period.
  • Proven time management skills, with the ability to multitask, prioritize independently, and meet deadlines.
  • Strong organizational skills with consistent follow-through.
  • Two or more years of related work experience preferred.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, as well as P21 and Salesforce.
