The Operations Support Coordinator is responsible for supporting the implementation, adoption, maintenance, and continuous improvement of operational systems and processes across the organization. This role will serve as a key resource in the rollout and administration of Bid2Win and future operational programs, ensuring employees receive the training, support, and tools needed to maximize efficiency and effectiveness.
The Operations Support Coordinator acts as a liaison between operations teams, end users, leadership, and system vendors to facilitate successful implementations, troubleshoot issues, coordinate training, and drive user engagement.
Essential Duties and Responsibilities
System Implementation & Program Support
  • Assist with the deployment and company-wide rollout of Bid2Win and other operational software platforms.
  • Coordinate implementation activities, timelines, communications, and user readiness efforts.
  • Support project teams during software launches, upgrades, and process improvement initiatives.
  • Monitor adoption rates and identify opportunities to improve user engagement and utilization.
  • Participate in testing, validation, and user acceptance activities for new systems and enhancements.

Training & User Support
  • Develop and maintain training materials, user guides, and standard operating procedures.
  • Conduct training sessions and provide one-on-one support for employees using Bid2Win and other operational systems.
  • Serve as the primary point of contact for user questions, troubleshooting, and issue resolution.
  • Escalate technical issues to vendors, IT teams, or leadership as needed.
  • Track, document, and follow up on support requests to ensure timely resolution.

Process Improvement
  • Gather feedback from users and stakeholders to identify process improvement opportunities.
  • Recommend enhancements to workflows, documentation, and system functionality.
  • Assist in the development and implementation of best practices that improve efficiency and consistency.
  • Support data integrity and ensure operational information is entered accurately and maintained appropriately.

Administrative & Reporting Responsibilities
  • Maintain system records, user access permissions, and related documentation.
  • Generate and distribute reports, dashboards, and status updates as requested.
  • Assist leadership with implementation metrics, adoption reporting, and project tracking.
  • Support cross-functional initiatives and special projects related to operational excellence.

Qualifications
Education
  • Associate's degree in Business Administration, Construction Management, Information Systems, Project Management, or a related field preferred.
  • Equivalent combination of education and relevant experience may be considered.

Experience
  • 2+ years of experience in operations support, project coordination, training, system administration, construction operations, or a related role preferred.
  • Experience supporting software implementations and end-user training strongly preferred.
  • Experience with Bid2Win, estimating systems, construction management software, ERP systems, or similar platforms is a plus.

Knowledge, Skills, and Abilities
  • Strong organizational and project coordination skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong troubleshooting and problem-solving abilities.
