Job Responsibilities The mission of the South Carolina Department of Education is to serve students, support teachers, empower parents, and engage the community so that every student graduates prepared to reach their full potential. Job Purpose The Administrative Coordinator I serves as a strategic administrative and operational partner to executive leadership within the Division of Financial Services. This position coordinates executive-level administrative operations, supports organizational effectiveness through technology-enabled solutions, and facilitates communication, workflow management, and information sharing across multiple divisions.

The role leverages modern business tools, digital collaboration platforms, data management practices, and emerging artificial intelligence technologies to improve efficiency, enhance customer service, and support data-informed decision-making. Responsibilities Executive Administration and Operational Support Provide high-level administrative and operational support to the Chief Financial Officer, Director of Finance, Director of Procurement and Director of Grants Services. Coordinate calendars, meetings, travel arrangements, procurement activities, personnel actions, and executive correspondence while ensuring timely completion of priorities and deliverables.

Manage office operations, contracts, service agreements, and administrative processes that support efficient and effective business operations. Serve as a liaison between executive leadership, agency staff, school districts, governmental entities, and external stakeholders to facilitate communication and customer service excellence. Digital Innovation, AI Enablement, and Business Process Improvement Leverage Microsoft 365 applications, workflow automation tools, and emerging artificial intelligence technologies to improve administrative processes, streamline routine tasks, and enhance operational efficiency.

Support the adoption of innovative workplace practices and digital transformation initiatives that strengthen organizational effectiveness and employee productivity. Promote data integrity, security, and governance standards when utilizing technology platforms and AI-supported solutions. Communications, Publications, and Stakeholder Engagement Coordinate and respond to inquiries from school districts, the public, governmental agencies, and internal stakeholders on behalf of Office of Finance leadership.

Develop, edit, and distribute executive communications, newsletters, briefing materials, reports, presentations, and other informational resources. Support internal and external engagement efforts through effective communication planning, content development, and information dissemination. Content Management and Digital Communications Manage and maintain web content, digital publications, and online resources for the Division of Financial Services.

Develop, review, and publish content consistent with agency branding, accessibility requirements, and communication standards. Serve as content coordinator for electronic newsletters, web-based communications, and other digital outreach initiatives. Compliance, Records Management, and Program Coordination Coordinate workflow processes that support compliance with state and federal reporting requirements, legislative mandates, and agency procedures.

Maintain records, documentation, and reporting systems that support program accountability and operational transparency. Support audits, reporting requests, and data collection activities as needed. Other Duties Perform other related duties, special projects, and assignments in support of the mission, strategic goals, and operational priorities of the South Carolina Department of Education.

This position is located in the Office of Finance. Minimum and Additional Requirements A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience. Preferred Qualifications Bachelor's degree and three (3) years of administrative, operational, business support, communications, or related experience; OR High school diploma and seven (7) years of progressively responsible administrative or office management experience.

Experience utilizing Microsoft 365 applications, digital collaboration platforms, and business technology tools. Demonstrated ability to manage multiple priorities, maintain confidentiality, and communicate effectively with diverse stakeholders. Experience supporting executive leadership in a governmental, educational, or public-sector environment.

Knowledge of office operations, records management, procurement, and administrative business practices. Experience with website content management, digital communications, workflow automation, data reporting, or business intelligence tools. Familiarity with artificial intelligence applications, process automation, and emerging technologies that enhance workplace productivity.

Strong organizational, analytical, problem-solving, and customer service skills. Ability to build collaborative relationships and communicate complex information effectively to both technical and non-technical audiences.
