Position Summary

The Operations Support Coordinator provides high-level administrative and operational support to executive leadership and the broader organization. This position requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment.

The ideal candidate is proactive, detail-oriented, technologically proficient, and comfortable working with confidential information. Advanced knowledge of Microsoft Excel, Word, and Power BI is essential. Experience using artificial intelligence tools to improve efficiency, reporting, communication, or workflow automation is a plus.

Key Responsibilities

  • Provide executive-level administrative and operational support to senior leadership.
  • Manage complex calendars, meetings, appointments, and scheduling priorities.
  • Coordinate meetings, prepare agendas and presentation materials, take notes, and track follow-up items.
  • Draft, edit, format, and proofread correspondence, reports, presentations, and other business documents.
  • Develop and maintain advanced Excel workbooks, reports, trackers, formulas, pivot tables, charts, and data analyses.
  • Create, maintain, and update Power BI dashboards and reports to support business decision-making.
  • Compile information from multiple sources and present findings in a clear, accurate, and professional format.
  • Coordinate travel arrangements, itineraries, expense reports, and related documentation.
  • Monitor deadlines, projects, and action items on behalf of executive leadership.
  • Maintain organized electronic and physical records while ensuring the confidentiality of sensitive information.
  • Support departmental projects, business initiatives, and day-to-day office operations.
  • Identify opportunities to improve administrative processes, reporting methods, and operational workflows.
  • Communicate professionally with internal departments, vendors, business partners, and other stakeholders.
  • Use available technology and AI-enabled tools to enhance productivity, streamline recurring tasks, and improve the quality of business materials.
  • Perform other duties and special projects as assigned.

Required Qualifications

  • Advanced proficiency in Microsoft Excel, including formulas, pivot tables, charts, data organization, and reporting.
  • Advanced proficiency in Microsoft Word, including document formatting, templates, tables, and professional correspondence.
  • Strong working knowledge of Microsoft Power BI, including dashboard creation, data visualization, and report maintenance.
  • Strong written and verbal communication skills.
  • Excellent organizational, time-management, and problem-solving abilities.
  • Demonstrated ability to manage competing priorities and meet deadlines with limited supervision.
  • High level of professionalism, discretion, and sound judgment.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to handle confidential and sensitive business information appropriately.

Preferred Qualifications

  • One to two years of relevant experience is preferred. An equivalent combination of education, training, or experience—including relevant college coursework or trade school training—will also be considered.
  • Experience supporting senior executives or executive leadership teams.
  • Experience with artificial intelligence tools, workflow automation, or AI-assisted reporting and content development.
  • Proficiency in additional Microsoft 365 applications, such as PowerPoint, Outlook, Teams, and SharePoint.
  • Experience working with data from multiple systems or business functions.
  • Associate’s or bachelor’s degree in business administration, operations, communications, or a related field.
