Job Description

Supporting the construction and maintenance department including the manager, supervisors and field employees. Utilizing various computer applications, including Microsoft Office Suite, various internal applications, customer service skills and organizational skills.

Provide operations support related to accurate, complete, and timely documentation of capital construction work and ensures accurate, complete, and timely reconciliation and processing of contractor invoices and assists with financial forecasts.

Responsibilities

Key Duties and Responsibilities

  • Compile, analyze, reconcile, and complete all tasks associated with closing a construction project and/or processing contractor invoices:

  • Job orders and completion reports

  • Designed versus constructed projects including as-builts

  • Leakage and repair logs

  • Service line documentation

  • Pipeline data such as compliance records

  • Major materials

  • Invoices & supporting documentation

  • Contractor Daily Progress Reports

  • Contract terms & pricing

  • Utilize JES, Maximo, Oracle, Markview, PowerPlant, ONE Map, Business Intelligence, SharePoint, and Excel to enter or verify data and prepare reports including but not limited to:

  • Completion Reports & supporting documentation

  • Invoice FERC account coding and supporting documentation

  • Debit memos & journal entries for labor and property corrections

  • Job-to-job material transfers

  • Communicate effectively with Field Operations, Engineering, GIS, and Property Accounting on quality of documentation and status of pending work.

  • Assist and support financial forecasting processes by analyzing project statuses and invoice timing.

  • Regular and reliable attendance is required in performance of job.

  • Employee may be required to perform additional duties as assigned.

Qualifications

Education Requirements

Associate's Degree preferred in business administration, other related field, or an equivalent combination of formal education and the following job related experience.

This role typically calls for two to four years of relevant experience; Minimum of one-year relevant experience is required. Education can substitute for experience if applicable. Typically, one year of formal education is equivalent to one and a half to two years of relevant experience.

Experience

  • Experience reviewing project or construction documentation and/or contractor invoices.

  • Experience in use and function of office equipment applicable to position including:

  • computers, photocopiers, and applicable software listed under Essential Functions.

  • Experience with policies, procedures, and use of terminology applicable to position.

  • Experience reading and interpreting various types of manuals, forms, publications, maps and reports.

  • Experience interacting, advising and communicating effectively with internal and external customers.

  • Experience composing and preparing correspondence and reports.

  • Demonstrated ability to read and write fluently in English.

Licenses and Certifications

Applicable driver's license.

Additional Requirements

  • Mobility to travel in and around office facilities.

  • Communicate and/or exchange information or instructions.

  • Visual abilities sufficient to perform job duties.
