Job description

Title: Operations Manager
Location: Hamilton, NJ

Summary

The Operations Manager will be involved in many facets of the center operations, including day‑to‑day staff and services management, recruitment, scheduling, customer service, reporting, and general administrative tasks in support of the Center's operations. The manager will maintain accurate records related to staffing and service delivery for each case, assist in creating, maintaining, and managing a master schedule, and ensure adequate staffing of clinical cases according to budgeted hours per client as authorized by the client’s insurer.

Job Qualifications
  • Perform essential duties satisfactorily, react to change productively, and handle assigned tasks
  • Possess professional knowledge and experience regarding business operations, growth and development, staff scheduling, personnel management, customer acquisition, and related operations skills
  • Demonstrate a high standard of ethical conduct and respect confidentiality principles
  • Show honesty, integrity, and cooperative communication with internal and external clients
Education
  • Bachelor’s Degree or equivalent work experience
  • Preferred: Bachelor’s degree in Marketing, Business Administration, or Healthcare Management
Experience
  • 5 years of management in a professional environment, preferably in medical, behavioral health, PT, OT office (or similar) operation
  • Experience building and retaining customers
  • 5 to 7 years of experience managing and developing staff
  • Prior practice managers and retail managers are encouraged to apply

  • Strong rapport‑building skills and ability to manage staff

  • Ability to work independently toward assigned goals
  • Excellent time management and organization skills
  • Ability to manage multiple tasks, prioritize them, and meet deadlines

  • Ability to administer processes across the center consistently
  • Superb communication skills; adept at listening and communicating with management, staff, and families/clients
  • Professional appearance and presentation required
Computer Skills
  • Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint
  • Proficiency in using email and Outlook
  • Ability to keep accurate records, work in the database, use Excel, and track processes accurately
Working Conditions
  • Exposure to constant or intermittent sounds sufficient to cause distraction
  • Considerable stress may occur at times due to the pressure of meeting service requirements
  • Hours: 7:30 a.m. to 5:00 p.m.; must fulfill duties regardless of hours worked, may vary with recruitment projects
  • Performing duties on a full‑time basis is an essential function of this position
  • Must read and respond to emails and accept calls outside of work hours as needed
