Position: Business Operations Manager
The Business Operations Manager plays a critical role in ensuring the smooth, efficient, and professional operation of our office. This role combines hands-on administrative support with leadership responsibilities, overseeing office processes, coordinating administrative staff, and serving as a key partner to Operations and Management teams. The ideal candidate is highly organized, proactive, people focused, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities:
  • Directly manage and oversee Office Coordinators across multiple office locations
  • Ensure consistent administrative processes, standards, and best practices are followed company-wide
  • Provide coaching, guidance, and performance feedback to Office Coordinators
  • Lead onboarding and training for new Office Coordinators across all locations
  • Act as escalation point for complex administrative or office-related issues
  • Foster collaboration and communication among office teams across regions
  • Evaluate workflows and recommend improvements to increase efficiency and accuracy
  • Oversee day-to-day administrative functions across multiple offices
  • Manage administrative processes within the AirOne operating system
  • Set up and maintain electronic project files and documentation
  • Track bid closing dates and ensure timely submission of proposals
  • Review and process contracts, purchase orders, subcontracts, and related documents
  • Ensure completion and accuracy of W9s, tax forms, vendor setups, and COIs
  • Prepare and distribute qualification submittals
  • Monitor office supply budgets and ordering for multiple locations
  • Coordinate mail, shipping, and office logistics across offices
  • Partner with building management on maintenance and office needs
  • Oversee instrument inventory and calibration tracking across all locations
  • Coordinate equipment repair and calibration shipments
  • Ensure compliance with documentation and notify Operations Managers of upcoming needs
  • Serve as primary administrative liaison between office staff, field teams, and leadership
  • Ensure professional and consistent office experience across all locations
  • Support leadership by providing updates, insights, and recommendations related to office operations

Qualifications
  • 5+ years of previous multi-site management experience required
  • Previous mechanical, electrical, or construction industry experience preferred but not required
  • Demonstrated experience leading or supervising administrative teams preferred
  • Strong organizational, time management, and prioritization skills
  • Excellent verbal and written communication skills
  • High attention to detail and follow-through
  • Proficient in Microsoft Word, Excel, and Outlook
  • Experience with service or project management systems including Bluebeam preferred
  • Ability to manage competing priorities in a fast-paced environment

Working Conditions:
  • Full-time position in office position
  • Occasional overtime may be required during peak periods.
  • Office environment with regular use of standard office equipment.
  • Typical working hours are Monday through Friday 8:00am to 5:00 pm
