Why This Role Exists
The firm has outgrown informal operations handling. Senior leadership is spending too much time on day-to-day operational fires (vendor sourcing, facilities issues, repairs, security needs, and multi-office logistics). This role exists to own operational execution, solve problems independently, and keep the offices running smoothly - so leadership can stay focused on growth.
This is a hands-on execution role - not a strategy or HR leadership role - and it reports directly to senior leadership; there are no direct reports initially, with the opportunity to grow into people management over time.
What you'll do:
  • Daily Operations Troubleshooting: Be the go-to problem solver for day-to-day operational issues across offices - solve issues without escalating everything to leadership.
  • Vendor Coordination: Source vendors, request and compare quotes, schedule work, coordinate access, and ensure work is completed correctly and on time.
  • Facilities & Security: Coordinate repairs, maintenance, and security needs (including urgent issues) across multiple offices.
  • Multi-Office Presence: Be physically present when issues arise; travel to Queens and White Plains as needed.
  • Administrative Support (HR-adjacent): Provide administrative support to keep HR processes moving (scheduling, tracking deadlines, ensuring steps are completed on time), without owning HR policy.
  • Work Schedule & Location: This is a fully in-office role based in Manhattan (NYC). Hours are 9:00 AM - 5:45 PM, with a 45-minute lunch and one additional 15-minute break. You must be willing to travel to our Queens and White Plains offices as issues arise.

  • Hands-on operations background: Office Coordinator / Operations Coordinator / Office Manager-type experience, ideally in a multi-site environment
  • Vendor + facilities comfort: You can source vendors, compare quotes, coordinate access, and follow through to completion
  • Calm under pressure: You stay level-headed, make practical decisions, and move quickly when unexpected issues arise
  • Independent executor: You don't need constant direction; you escalate only when necessary
  • Strong follow-through: You track details, close loops, and ensure nothing falls through the cracks
  • Communication strength: Comfortable communicating with vendors and internal stakeholders at all levels
  • Travel flexibility: Willing to travel to Queens and White Plains as needed
