Reports To: Executive Director
FLSA Status: Non-Exempt (Hourly)
Schedule: Approximately 24-30 hours per week
Location: Hybrid, 2 days/week in office

Marin Resource Conservation District (Marin RCD) works to conserve and enhance West Marin’s soil, water, vegetation, and wildlife through community-based conservation and restoration. For more than 60 years, we have connected landowners and land stewards with the technical expertise, funding, and practical tools needed to care for agricultural and natural lands. Our voluntary, non-regulatory approach allows us to partner with farmers, ranchers, public agencies, nonprofit organizations, Tribal governments, and local communities. We lead complex restoration projects that improve water quality, support healthy soils, protect wildlife, and strengthen climate resilience. By bringing people, perspectives, and resources together, we develop innovative and lasting solutions to shared conservation challenges. We are currently seeking an experienced Operations Coordinator to serve as a trusted partner to our Executive Director and help strengthen the systems, coordination, and operational support that keep our growing organization moving forward. Position Summary

The Operations Coordinator is a trusted operational partner to the Executive Director and serves as the organizational hub for the Resource Conservation District. This position plays a critical role in helping the organization operate efficiently by coordinating projects, supporting staff, managing administrative and governance functions, and ensuring organizational priorities continue moving forward.

Working closely with the Executive Director, the Operations Coordinator translates priorities into action by maintaining organizational systems, tracking projects and deadlines, supporting Board governance, coordinating contract administration, and providing day-to-day operational guidance to staff. Although this position does not directly supervise employees, it serves as a key resource for staff by helping answer questions, navigate organizational processes, remove bottlenecks, and coordinate work across teams.

The ideal candidate is highly organized, proactive, resourceful, and collaborative, with exceptional attention to detail and the ability to anticipate needs, solve problems independently, and keep multiple priorities moving simultaneously.

As the MRCD continues to grow, so does the complexity of our work. We are creating this position to strengthen the operational support that allows our programs, people, and partnerships to thrive.

The Operations Coordinator will become a trusted resource for staff—someone who helps answer questions, coordinates work across teams, keeps projects moving, and ensures organizational commitments don't fall through the cracks. While the Executive Director will continue to provide overall leadership and direction, this position creates the operational capacity needed to support staff, improve communication, streamline workflows, and reduce unnecessary interruptions so leadership can remain focused on advancing the District's mission and strategic priorities.

This is not a traditional administrative support position. We are seeking an experienced operations professional who enjoys creating order from complexity, building efficient systems, solving problems, and helping others succeed. The ideal candidate is someone who takes ownership, anticipates needs before they become challenges, and finds satisfaction in enabling both people and projects to be successful.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Executive and Organizational Support

· Partner closely with the Executive Director to coordinate organizational priorities and initiatives.

· Anticipate administrative and operational needs and proactively identify solutions.

· Manage calendars, meeting logistics, correspondence, presentations, and document preparation.

· Track action items, commitments, and organizational priorities to ensure timely follow-through.

· Coordinate special projects and support implementation of strategic initiatives.

Operations Coordination

· Serve as a primary resource for staff regarding organizational processes, administrative procedures, and project coordination.

· Support onboarding of new employees by introducing organizational systems, workflows, and operational practices.

· Help staff navigate day-to-day operational questions and determine when issues should be elevated to the Executive Director.

· Coordinate communication and workflow across teams to ensure projects continue moving efficiently.

· Identify potential bottlenecks and proactively facilitate solutions.

· Foster accountability by tracking assignments, deadlines, and follow-up actions.

· Recommend and implement improvements to organizational systems and administrative processes.

Project Management

· Maintain Monday.com and other project management systems.

· Track project timelines, deliverables, milestones, and organizational priorities.

· Coordinate project updates with staff, consultants, contractors, and external partners.

· Prepare project status reports for the Executive Director.

· Ensure organizational commitments remain visible and progress is communicated.

Board and Governance Support

· Coordinate Board and committee meeting logistics.

· Prepare and distribute Board packets and supporting materials.

· Attend Board and committee meetings as assigned.

· Record, prepare, and distribute meeting minutes.

· Maintain Board records, resolutions, policies, and governance files.

· Track Board actions and follow-up items to ensure timely completion.

· Support compliance with Brown Act requirements and public meeting processes, as applicable.

Contract and Administrative Support

· Review contracts, agreements, and other documents for completeness, required documentation, signatures, deadlines, and administrative requirements.

· Coordinate contract routing and approval processes.

· Maintain contract tracking systems, including deliverables, reporting deadlines, renewals, and key dates.

· Organize and maintain electronic records and document management systems.

· Assist with grant administration and reporting support.

· Coordinate office operations, vendor communications, and administrative functions.

QUALIFICATIONS

Required

· Five (5) or more years of progressively responsible experience in operations coordination, executive support, nonprofit administration, project management, or a related field.

· Demonstrated ability to coordinate work across multiple projects and teams while maintaining exceptional attention to detail.

· Experience supporting senior leadership in a fast-paced environment.

· Strong project management and organizational skills.

· Excellent written and verbal communication skills.

· Demonstrated ability to exercise sound judgment, maintain confidentiality, and work independently.

· Proficiency with Microsoft Office Suite, Google Workspace, and project management software such as Monday.com or similar platforms.

· Ability to establish positive working relationships and provide guidance and support to colleagues without direct supervisory authority.

Preferred

· Experience working in a nonprofit organization, public agency, special district, or conservation-related organization.

· Experience supporting Boards of Directors or public governing bodies.

· Familiarity with contracts, grant administration, or compliance tracking.

· Experience developing or improving organizational systems and workflows.
