Position Overview
We are seeking a highly organized, detail-oriented, and driven Operations Coordinator to support key operational, compliance, and communication functions. This role is designed for an early-career professional with high potential-someone who is eager to learn but also capable of taking ownership and operating independently within defined guardrails.
The ideal candidate is proactive, resourceful, and demonstrates strong problem-solving skills. This individual will play a critical role in maintaining operational accuracy and efficiency today, while growing into more advanced responsibilities in analytics, process improvement, and emerging technologies-including AI.
Key Responsibilities
Operational Metrics
  • Own the tracking and daily maintenance of key operational metrics
  • Ensure data accuracy across systems and flag inconsistencies
  • Provide basic analysis and insights, escalating trends or issues as needed

Credentialing & Compliance
  • Manage and support credentialing applications from preparation through submission
  • Maintain licensure records and proactively track expirations and renewals
  • Ensure documentation is accurate, complete, and audit-ready

Record Keeping & Reconciliation
  • Maintain organized, up-to-date records across platforms
  • Perform routine reconciliation checks and independently investigate discrepancies

Communication & Coordination
  • Manage shared inboxes, triaging and responding to requests efficiently
  • Serve as a reliable point of contact for pharmacy partners and internal teams
  • Coordinate intern schedules and support related logistics

Operations & Equipment Oversight
  • Monitor operational readiness, including equipment functionality
  • Troubleshoot basic issues and escalate complex problems appropriately

Process Improvement & Technology Growth
  • Identify inefficiencies and recommend improvements to workflows
  • Learn and adopt new tools, including analytics platforms and AI solutions
  • Gradually take on more responsibility in automation and technology-driven initiatives

Qualifications
Required Skills & Experience
  • Strong attention to detail and organizational skills
  • Ability to manage multiple responsibilities and prioritize effectively
  • Demonstrated initiative and willingness to take ownership of tasks
  • Comfort working independently while following structured processes
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (especially Excel and Outlook)

Preferred Qualifications
  • 1-3 years of experience, internship, or relevant exposure in operations, healthcare, or administrative roles
  • Familiarity with data tracking, reporting, or compliance processes
  • Exposure to pharmacy, credentialing, or regulated environments
  • Interest in analytics, process improvement, or technology (including AI)

Core Competencies
  • Ownership Mindset: Takes responsibility for outcomes, not just tasks
  • Attention to Detail: Maintains high standards of accuracy
  • Initiative with Judgment: Knows when to act independently vs. escalate
  • Resourcefulness: Leverages tools and available support effectively
  • Adaptability: Thrives in a role with evolving responsibilities

Growth & Development
This role is intentionally structured to grow with the individual. In the first 6-12 months, the focus will be on mastering core operational responsibilities. Over time, this position will expand into:
  • Advanced analytics and reporting
  • Process optimization and automation
  • Implementation and use of AI tools to improve efficiency and decision-making

This position is fully on-site and is NOT remote. Applicant must reside in Texas with the ability to report to the office 5 business days of the week.
